As an executive support team member, you will be part of a team of EAs working across the organization within a collaborative, supportive environment, in a fast-paced and continuous improvement setting.
Responsibilities:
- Provide high-level executive administrative support to two senior-level executives.
- Proactively manage diverse, complex calendars. Respond rapidly and professionally to high volumes of scheduling requests and changes while acting as a liaison and applying critical thought to prioritize requests with executive priorities.
- Manage contacts, communicate, and collaborate with internal and external individuals, including founders, investors, vendors, partners, or employees.
- Assist in developing and organizing support materials for meetings and conferences (e.g., presentation slides, Excel files, reports).
- Arrange and coordinate domestic and international travel, accommodations, agendas, and itineraries.
- Handle expense reconciliation and reporting, including filing reports in a timely manner with full accuracy.
- Proactively anticipate administrative support needs to align with company, executive, and team goals and expectations.
- Assist with meeting and event planning, including offsites, all-hands meetings, and leadership meetings (booking conference rooms, group reservations, catering, logistics).
- Collaborate with internal team members to create an exceptional employee and visitor experience at Cytel.
- Partner with HR and Finance on various requirements and projects.
- Prioritize and manage multiple projects simultaneously, following through on issues in a timely manner.
- Anticipate questions and organize priorities effectively.
- Demonstrate a proactive, intuitive, and resourceful approach in all work areas.
- Maintain a high degree of independence, discretion, practical judgment, and attention to detail.
- Perform additional projects as assigned.
Qualifications:
- Bachelor's degree preferred or equivalent experience in supporting multiple senior executives.
- 12 years of direct experience as an EA.
- At least 3-5 years of senior administrative experience in a technology, services, or life sciences industry, or in a high-paced organization preferred.
- Ability to work independently and collaboratively.
- Strong work ethic with high discretion and good judgment, especially regarding sensitive information.
- Technologically savvy, with strong knowledge of Microsoft Office.
- Excellent written and verbal communication skills.
- Strong time management and organizational skills with the ability to meet deadlines and handle multiple priorities.
- Excellent interpersonal skills with a customer service focus.
