A Global Billion-Dollar Alternative Asset Manager/Private Investment Management Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support their Senior Managing Director/General Counsel/Chief Sustainability Officer (90% EA/10% PA). This is primarily a 1:1 support role with additional ad hoc support for 2-4 legal and compliance professionals. The position is open as the current EA lives in Los Angeles, CA, although the GC and EA have a great relationship, they really need this person to be based in NYC. The GC is amazing – she has high standards, but she is great to work for, great to learn from, and super communicative! She really partners with her EA so there is a lot of ownership in this role and this person must be able to get in front of her and manage timelines. Candidates must have a minimum of 5-10+ years of applicable high-level executive administrative experience supporting a senior- or C-level executive, ideally within financial services but open to industry (legal and/or finance is not required), and a Bachelor’s degree is required/a must. Ideal candidates should be extremely polished and professional, organized, detail-oriented, proactive, able to gatekeep, anticipate needs, prioritize, and take charge in a supportive way, and possess excellent interpersonal and communication skills (both verbal and written – executive is a stickler for grammar).   • Salary depends on experience (115-125k base), plus BUILT-IN paid overtime (approx. 20k on top of the base as this person will work through lunch) and discretionary bonus eligibility (target 15-20%). AMAZING benefits/perks, including free seamless lunch,
  • Hours are 8:30am-5:30/6:00pm, with flexibility to work overtime as needed. Hybrid work schedule. 3 days (Tuesday – Thursday) in office / 2 days (Mondays/Fridays) remote. 6 weeks per year work from anywhere/remotely (specifically scheduled for 4th of July week, etc.)


Responsibilities:


  • Provide high-level executive administrative support primarily to Senior Managing Director/General Counsel/Chief Sustainability Officer, with additional ad hoc support to the team of 2-4 legal and compliance professionals.
  • Manage and maintain the General Counsel’s schedule, including some travel and conferences, scheduling appointments, coordinating meetings, and reprioritizing as necessary using sound judgement and tact.
  • Coordinate domestic and international travel arrangements and all necessary details/logistics.
  • Prepare, process, and submit expense report in a timely manner.
  • Answer phones and initiate responses promptly – excellent manners and ability to screen calls.
  • Keep track of calls, meetings, and emails that require reminders and follow up.
  • Act as the liaison between the internal and external parties; meet and greet guests.
  • Tech-savvy user of software to prepare and edit reports, presentations, and correspondence.
  • Maintain both individual and Firm contact databases.
  • Maintain an organized electronic and physical file system (business and personal).
  • Assist with event planning for the team – twice a year larger events and quarterly small team events (mini golf, dinners, etc.).
  • Help with any ad hoc tasks and projects, as requested.
  • Integrate into General Counsel’s personal life with travel planning, scheduling, and calendars.


Required Qualifications:

  • Minimum 5-10+ years of applicable high-level executive administrative experience supporting a senior or C-level executive(s) required.
  • Bachelor’s degree is required; intellectually curious and lifelong learner.
  • Highly professional, polished, confident, energetic, and outgoing with a great attitude and flexible mentality.
  • Very high level of discretion and confidentiality required.
  • Exceptional interpersonal and communication skills (both written and oral).
  • Highly organized and detail oriented – checks work for accuracy, grammar, spelling, punctuation, etc.
  • Ability to work and thrive in a fast-paced environment.
  • Effective at prioritizing and handling a busy workload.
  • Proactive; ability to be forward thinking and plan ahead.
  • Team player, good listener, and level-headed
  • Experienced with Microsoft Office Suite and willing to learn other applications/technologies as needed.
