Responsibilities

  • Administrative Support: Provide comprehensive administrative support to CIO, including scheduling meetings, managing calendars, coordinating travel arrangements, and preparing expense reports.
  • Prepare, format, and quality-check correspondence, reports, presentations, and other documents.
  • Prepares agendas and meeting plans, slide decks and necessary meeting information.
  • Safeguard sensitive financial, investment and legal information at all times. Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist with the preparation of materials for board meetings, Investment Committee meetings, and other executive sessions.
  • Coordinate logistics and events for CIO and teams reporting to CIO (F&A and IT)
  • Communication Management: Serve as the first point of contact for internal and external communications on behalf of the CIO, responding independently within agreed boundaries.
  • Manage incoming and outgoing communications, including emails, phone calls, and mail.
  • Coordinate with outside investment advisors, investment managers, bank representatives , lenders on the CIO’s behalf.
  • Identify accountabilities and by-when dates/deadlines that support CIO’s commitments, both internally and externally.

Summary/Objective

The Executive Assistant to the Chief Investment Officer is a trusted partner who protects and multiplies the CIO’s time. The role manages the CIO’s calendar, priorities, and incoming requests with sound judgment, represents the CIO in communications where appropriate, and organizes commitments and documentation across investments. The Executive Assistant works independently in close coordination with the CIO and handles highly confidential financial, investment and legal information with discretion.

  • Number of communications handled per day/week.
  • Stakeholder Satisfaction:
  • Feedback scores from executives and project stakeholders.
  • Number of positive vs. negative feedback instances.
  • Commitment Follow-Through:
  • Percentage of the CIO’s commitments and action items completed by their due dates. .
  • Number of issues surfaced early versus escalated late.
Qualifications:
  • Bachelor’s degree in Business Administration , Management, or related field.
  • Minimum of 5 years of experience in an executive assistant or project management role.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in project management software and tools.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and decision‑making abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Work Environment:

This role primarily operates in a professional office environment. Some travel may be required to support executives. The role may also require occasional evening or weekend work to meet deadlines or support events.
