Job summary

Transamerica, based in New York, is seeking an Executive Assistant to the CEO. This role provides high-visibility support to the Chairman & CEO, coordinating schedules, travel, events, and communications while safeguarding confidential information.

Successful candidates will demonstrate exceptional discretion, strategic mindset, and proven ability to manage complex priorities with diplomacy and strong relationship-building across senior leadership and external stakeholders.

Qualifications

Responsibilities

  • Provide executive-level support to the Chairman & CEO, managing complex schedules and minute-by-minute itineraries.
  • Coordinate domestic and international travel, accommodations, logistics, and visas.
  • Plan and execute high-level meetings, events, and engagements.
  • Develop reports, analyses, and tracking materials, including expense reporting and related executive office reporting.
  • Screen, prioritize, and resolve calls and inquiries for the CEO.
  • Prepare executive presentations, briefing materials, and draft communications.
  • Liaise with key clients, senior leaders, and strategic stakeholders.
  • Anticipate issues, prioritize demands, and support executive office operations.
  • Manage administrative staff within the local Executive Office and oversee development activities.

Job Description Summary

The Executive Assistant to the CEO facilitates and manages activities and information surrounding the Chairman of the Executive Board and Chief Executive Officer (CEO). This highly visible role serves as a key liaison between the Executive Office, senior leadership, Executive Board members, and important internal and external stakeholders while ensuring the efficient operation of the local Executive Office. Operating with substantial latitude to exercise independent judgment and discretion, the Executive Assistant provides comprehensive executive-level support to the Chairman & CEO by managing complex schedules, coordinating travel and events, preparing reports and communications, overseeing administrative operations, and ensuring seamless execution of executive priorities in a fast-paced and confidential environment.

Job Description Key Responsibilities
  • Provide executive-level support to the Chairman & CEO, including managing dynamic professional and personal schedules and delivering minute-by-minute daily itineraries.
  • Coordinate domestic and international travel arrangements, including transportation, accommodations, travel logistics, and visa requirements.
  • Plan, coordinate, and execute high-level meetings, events, and executive engagements.
  • Develop reports, analyses, and tracking materials including expense reporting, jet travel logs, contributions, invitations, and related executive office reporting.
  • Screen, prioritize, and resolve routine and complex calls, correspondence, inquiries, and requests on behalf of the CEO.
  • Prepare executive presentations, briefing materials, and draft communications for internal and external audiences.
  • Serve as a liaison for key clients, senior leaders, Executive Board members, and other strategic stakeholders.
  • Anticipate issues, prioritize competing demands, and make informed decisions to ensure effective executive office operations.
  • Manage and oversee administrative support staff within the local Executive Office, including hiring, training, coaching, and development activities.
  • Develop and maintain a thorough understanding of company culture, organizational structure, and business processes to effectively navigate executive-level interactions and initiatives.
Required Qualifications
  • Ten (10) years of senior executive-level administrative experience.
  • Demonstrated ability to perform highly visible and scrutinized activities with exceptional precision, diplomacy, organization, discretion, and confidentiality.
  • Ability to effectively manage multiple priorities, shifting demands, and tight deadlines in a fast-paced executive environment.
  • Strong written and verbal communication skills with a service-oriented approach.

Preferred Qualifications
  • College degree.
  • Previous management or supervisory experience.

Compensation

The Salary for this position generally ranges between $180,000 and $200,000 annually. Please note that the salary range is a good faith estimate for this position and actual starting pay is determined by several factors including qualifications, experience, geography, work location and operational needs. Salary may vary above and below the stated amounts, as permitted by applicable law. Additionally, this position is typically eligible for an Annual Bonus based on the Company Bonus Plan/Individual Performance and is at the Company’s discretion. Applicants must possess legal authorization to work for our company in the U.S. without the need for immigration sponsorship or otherwise serving as an employer of record for immigration employment purposes. At this time, this role is not eligible for immigration-related employment authorization sponsorship.
