Job summary

Catholic Charities Fort Worth is seeking an Executive Assistant to the CEO to provide high‑level administrative support and strategic coordination. You will own executive workflows, triage communications, and ensure timely, professional interactions with internal and external stakeholders.

You’ll manage complex calendars, draft correspondence, prepare briefing materials, and support governance and project initiatives, all while working onsite in Fort Worth, TX.

Qualifications

  • High School Diploma required; relevant experience preferred.
  • 5 to 7+ years of executive support or administrative leadership.
  • Proficiency in Microsoft Office and strong written/oral English.
  • Strong organizational, communication, and discretion.
  • On-site role in Fort Worth, with occasional remote work.

Responsibilities

  • Manage CEO's email inbox, flag priorities and draft responses.
  • Prepare presentations, letters, and internal communications.
  • Coordinate CEO calendar, schedule prioritization, and meeting logistics.
  • Prepare meeting materials, agendas, and post-meeting follow-up.
  • Support governance activities and cross‑team project coordination.

What will you be doing in your role?

Executive Operations

  • Independently manage and triage the CEO's email inbox, ensuringtimelyresponses,exercising judgment toflagstrategicpriorities, andmaintainingexecutive-level communication standards.
  • Draft, edit, and prepare professional correspondence, presentations, and internal communications on behalf of the CEO, exercising discretionregardingcontent and alignment with leader voice.
  • Orchestrate and “run the day” for the CEO, including ensuring smooth meeting transitions, keeping schedules on track, and proactively preparing materials and briefing documents before each meeting.
  • Manage complex, high-volume calendars for the CEO,making autonomous decisionsregardingscheduling,prioritization ofrequestsand coordinationwith internal and external stakeholders.

Strategic Support

  • Anticipate needsof CEOby monitoring workloads, deadlines, and key priorities,proactivelyidentifyingrisks, conflicts or preparation needs toensurethe leaders are fully briefed and equipped for upcoming commitments.
  • Serve as a strategic gatekeeper, protecting executive time whilemaintainingstrong relationships across the organizationand making determinationsregardingaccess, timing, and follow‑up.
  • Own preparation for executive meetings, includingdriving timelines, supportingcreationofagendas,curatingmaterials, and guiding post‑meeting follow‑throughto driveresults.

Governance Entities Strategy & Engagement

  • Serve as the operationalownerfor governance processes—anticipatingneeds, maintaining cadence, and ensuring all governance activities occur on time, with excellence, and with minimaldirectionrequiredfrom the CEO.
  • Prompt the CEO to prepare meeting agendas and materials in advance,maintaininga smooth planning cadence so executivesdon’tneed to manage the process themselves.
  • Provide comprehensive support for all governance meetings, including preparing meeting spaces, managing technology needs, taking clear and actionablenotes, anddocumenting decisions and follow‑up tasks.

Project Management Strategic Support

  • Support the implementation of project management best practices for cross‑functional initiatives led by the CEO, exercising judgment to organize workstreams, timelines, and alignment across teams.
  • Ownlogistics, coordination, and document preparation for project management meetings.
  • Support preparation and follow up for project management meetings, including preparing agendas, assembling materials, and capturing clear next steps that drive consistent follow‑through and momentum.

Are you the next Executive Assistant to the CEO?

Required:

  • High School Diploma.
  • 5 to 7 or more years of relevant professional experience in executive support, operations, or administrative leadership.
  • Proficiency in Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint and SharePoint).
  • Excellent written and oral presentation skills in English.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong communication and interpersonal abilities.
  • Demonstrated discretion and ability to handle sensitive and confidential information.
  • Ability to work both independently and collaboratively in a fast‑paced environment.
  • Ability to provide consistent, on‑site support. This position is located in Fort Worth, TX. It is required for candidates to be available to work 5 days in the office. Occasional remote work is supported when work duties require deep thinking or focused work.

Preferred:

  • Bachelor’s degree in business or related field preferred.
