Overview Of The Position
CFH seeks a highly skilled individual who will provide executive assistant support to the organization’s very busy C-Suite members and also act as the liaison between the organization’s management team and the Board of Directors. We require someone who is highly organized and outcome-focused who thrives in a high-energy environment. The right candidate will participate actively in improving the impact of CFH on its organizational objectives.
Responsibilities Of The Executive Assistant To The C-suite
- Assist the President/CEO and other C-Suite members (Chief Program Officer, Chief Financial Officer, Chief Development and Communications Officer, and Chief Medical Officer) in facilitating effective decision-making, appropriate prioritization, and follow-up to ensure the organization runs efficiently.
- Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
- Support the C-Suite by project managing cross-departmental initiatives
- Act as liaison among the C-Suite members and other managers and staff: coordinate calendars, schedules, meetings, and strategic initiatives
- Manage sensitive matters with a high level of confidentiality and discretion
- Identify and elevate those issues about which the C-Suite members should be aware to resolve the problem/mitigate the risk
- Coordinate meeting agendas by gathering input from senior staff, and accurately document minutes for key meetings, clearly outlining decisions made and follow-up actions required.
- Develop, maintain and follow up on task lists and critical paths for organization projects
- Field and assess inquiries directed to C-Suite, determine/advise on the proper course of action, complete the transaction or field to the appropriate individual to resolve
- Collect critical information from appropriate staff persons and populate data dashboards to increase the use of metrics in organizational decision-making
- Prepare presentation materials to communicate information effectively and succinctly
- Manage the organization’s critical document repository; maintain all salient documents (contracts, regulations, certifications, etc.) in both electronic and paper form, where appropriate, to facilitate easy access when the documents are needed
- Facilitate communication, meeting management, and necessary follow-up with external business partners and other organizations working jointly with CFH
- Chair special project committees and move projects to successful outcomes
- Draft memos, correspondence, and make phone calls on behalf of C-Suite members
- Make travel and other reservations and arrangements for C-Suite members
- Conduct background research and brief C-Suite members prior to meetings with prospective board members, political leaders, and others
- Plan and execute special events as needed
LIAISON TO THE BOARD OF DIRECTORS
- Act as liaison between CFH’s C-Suite and the Board of Directors
- Establish and manage board, committee, and special meeting calendars; send electronic appointments, collect and distribute documents and reports needed for Board and Committee meetings
- Manage Board of Directors information repositories and communication tools
- Field questions from board members and answer, if able, or refer to the appropriate staff person, if needed
- Record minutes accurately and comprehensively at board and select committee meetings, write-up minutes in a standardized format, seek consensus from the appropriate board or committee members, and publish the approved minutes promptly in final, executed format
- Manage needed information about board members in a secure and confidential format
- Prepare presentation materials to communicate information effectively and succinctly
- Solicit feedback from board members and report back to C-Suite members
- Plan and execute special events involving board members
Qualifications
- Bachelor’s in Business Administration or similar field
- Minimum 3 - 5 years administrative experience, of which three years were supporting the CEO or other C-suite executives
- Experience working at a Federally Qualified Health Center and/or homeless services agency desirable.
- Ability to multi-task and operate in a fast-paced environment
- Extremely strong organizational skills with the ability to organize others
- Superb business writing and oral communication skills are required
- Excellent interpersonal relationship skills are required to deal with employees of all levels, consumers, key stakeholders and Board members
- Strong computer skills and proficiency with MS Office, PowerPoint and other presentation tools
- Experience with Board Effect or similar software desirable
