Description

OVERVIEW OF THE POSITION

CFH seeks a highly skilled individual to provide executive assistant support to the organization’s busy C-Suite members and act as a liaison between management and the Board of Directors. The ideal candidate will be highly organized, outcome-focused, and thrive in a high-energy environment. They will actively contribute to enhancing CFH’s organizational impact.

RESPONSIBILITIES OF THE EXECUTIVE ASSISTANT TO THE C-SUITE

  • Assist the President/CEO and other C-Suite members (Chief Program Officer, CFO, Chief Development and Communications Officer, Chief Medical Officer) in facilitating decision-making, prioritization, and follow-up to ensure organizational efficiency.
  • Plan and coordinate work to meet senior executives’ priorities and organizational goals.
  • Support cross-departmental initiatives through project management.
  • Coordinate calendars, schedules, meetings, and strategic initiatives among C-Suite members and staff.
  • Handle sensitive matters with confidentiality and discretion.
  • Identify and escalate issues requiring C-Suite attention to mitigate risks.
  • Coordinate meeting agendas, gather input, and document minutes with clear decisions and follow-up actions.
  • Develop and monitor task lists and project timelines.
  • Assess inquiries directed to C-Suite, advise on actions, and direct to appropriate staff.
  • Compile data for dashboards to support organizational decision-making.
  • Prepare presentation materials for effective communication.
  • Manage critical documents and records for easy access.
  • Facilitate communication and follow-up with external partners and organizations.
  • Chair special project committees and oversee project progress.
  • Draft memos, correspondence, and make calls on behalf of C-Suite members.
  • Arrange travel and reservations for C-Suite members.
  • Conduct background research for meetings with stakeholders.
  • Plan and execute special events as needed.

LIAISON TO THE BOARD OF DIRECTORS

  • Serve as liaison between C-Suite and the Board of Directors.
  • Manage board, committee, and meeting calendars; distribute documents and reports.
  • Maintain Board information repositories and communication tools.
  • Respond to questions from board members or refer as appropriate.
  • Record and publish accurate, standardized minutes of board and committee meetings.
  • Manage confidential information about board members.
  • Prepare presentation materials for board meetings.
  • Gather feedback from board members and report to C-Suite.
  • Organize special events involving board members.
Qualifications

QUALIFICATIONS

  • Bachelor’s degree in Business Administration or a related field.
  • 3-5 years of administrative experience, including supporting C-Suite executives.
  • Experience in Federally Qualified Health Centers and/or homeless services is desirable.
  • Ability to multitask in a fast-paced environment.
  • Strong organizational skills and ability to lead others.
  • Excellent business writing and oral communication skills.
  • Outstanding interpersonal skills to interact with employees, stakeholders, and board members.
  • Proficiency with MS Office, PowerPoint, and presentation tools.
  • Experience with Board Effect or similar software is a plus.
