Job summary

Ross Stores is seeking an experienced Executive Assistant to support the Senior Vice President. The role includes managing the SVP’s calendar, handling confidential communications, coordinating travel, and preparing correspondence and reports.

Responsibilities also include coordinating meetings and events, managing documentation, and ensuring timely execution of tasks with discretion and professionalism.

Qualifications

  • Proven experience providing administrative and logistical support to a top executive.
  • Experience with scheduling, travel arrangements, financial reimbursements and communicating with senior level internal and external contacts.
  • Superior organizational skills; advanced computer skills.
  • 2–4 years of administrative support experience is preferred.
  • Ability to organize work, manage priorities and deadlines with minimal direction.
  • Knowledge of English business writing and professional communication.
  • Knowledge of standard office practices and procedures; basic budgeting theories and record‑keeping.
  • College degree required.
  • Project management experience is a plus.

  • Receive and screen communications to the SVP; determine priority and redirect as needed.
  • Produce letters, reports, presentations, memos, and confidential material; compile correspondence and documents.

  • Organize team events and meetings; coordinate logistics, space, contracts and materials.
  • Maintain confidential records and provide document services (copying, filing, distribution).
  • Manage personal matters and other office duties as assigned.

General Purpose

Provides executive level administrative support to the Senior Vice President and/or Group Vice President. Ensures day‑to‑day activities are resolved through ongoing communication, organization of routine departmental activities and handling of special projects as needed.

Essential Functions
  • Exercise independent judgment and personal initiative in performing confidential administrative and secretarial work of a difficult, technical, specialized and complex nature.
  • Take appropriate authorized action in the absence of the SVP to ensure matters requiring attention are referred and handled to minimize the impact of his/her absence.
  • Act as liaison between other executives and staff in matters involving the SVP’s office—including meetings, documentation and activities requiring authorized action.
  • Manage the SVP schedule and calendar; arrange meetings, conference calls and appointments; and independently solve scheduling conflicts.
  • Receive and screen communications to the SVP, including telephone calls, email messages and recorded messages; determine priority and redirect callers or messages to the appropriate department.
  • Receive and distribute incoming mail; review and evaluate mail to identify items requiring priority attention; prepare for SVP review; log and route communications requiring action.
  • Produce letters, reports, bulletins, memoranda and e‑mails, including confidential material; compose correspondence, reports, presentations, speeches, organization charts, rough drafts and transcription machine tapes.
  • Coordinate travel, including ground transportation, hotel accommodations, itinerary planning, meeting coordination and ensure office requirements at the destination are arranged; prepare and process expense reports.
  • Organize team events and meetings, including identifying and reserving meeting space, managing contracts, coordinating transportation, aggregating and coordinating meeting materials, organizing meals and breaks, and facilitating events.
  • Maintain a variety of complex records and files related to operations and functions, including materials of a highly confidential nature; provide document services (copy, fax, distribute).

Qualifications & Special Skills Required
  • Proven experience providing administrative and logistical support to a top executive in a high‑energy, demanding, multi‑tasking environment.
  • Experience with scheduling, travel arrangements, financial reimbursements and communicating with senior level internal and external contacts; ability to shift priorities.
  • Superior organizational skills; advanced computer skills (Word, Excel, PowerPoint, Outlook, Visio); filing system management.
  • 2–4 years of administrative support experience is preferred.
  • Effective communication with co‑workers, senior level internal and external contacts and representatives of public and private organizations; maintain confidentiality of privileged information.
  • Ability to organize own work, coordinate projects, set priorities, meet deadlines and follow up on assignments with minimal direction.
  • Knowledge of principles of business letter writing and basic report preparation; mastery of English usage, grammar, spelling, punctuation and vocabulary.
  • Knowledge of standard office administrative practices and procedures, including the use of standard office equipment.
  • Basic budgeting theories and principles; basic mathematical calculations, accounting and record‑keeping skills.
  • Attention to detail, ability to meet deadlines.
  • College degree required.
  • Project management experience is a plus.
Physical Requirements/ADA

This role requires regular in‑office presence, including attending in‑person team interaction, meetings and collaboration, client support, mentoring, coaching and/or feedback. The position can also be performed using a combination of in‑office and remote work.
