Job summary

ProPharma Group is seeking an Executive Assistant to support the Executive Committee in a remote capacity. The successful candidate will excel at organizational tasks, handle confidential information with discretion, and possess exceptional communication skills. Qualifications

  • Minimum of 5 years in an executive assistant or senior administrative role.
  • Experience preferably supporting C-level executives.
  • Proficient with MS Office Suite, especially Excel and PowerPoint.

Responsibilities

The Executive Assistant position is responsible for supporting the Executive Committee members in optimizing time and productivity. This position requires strong organizational skills, a high level of discretion, and the ability to anticipate needs as well as provide exceptional support in a dynamic, fast-paced environment.

  • Manage Executive's calendars, including making appointments and prioritizing themost sensitive matters.

  • Manage the Executive's expenses, including tracking receipts and submitting expense reports.

  • Coordinate travel arrangements, prepare itineraries, and ensure timely preparations for trips.

  • Handleconfidentialinformationdiscreetly and ensureprivateand secure storage of vital documents.

  • Screen incoming calls, correspondence, and emails, providing prompt responses or directing them to the appropriate party.

  • Draft, edit, and assist in the preparation of correspondence, reports,and presentations for theExecutives.

  • Plan andcoordinate Executive-levelmeetings, arranging logistics, andpreparing materials.

  • Assist with the planning and execution of company events and seminars.

  • Assist with or lead special projects as directed, ensuring timely completion and attention to detail.

  • ActasaliaisonbetweentheExecutivesandinternaldepartments as well as external partners, facilitating smooth communication and prompt resolution of requestsand queries.

  • Otherdutiesas assigned.

Necessary Skillsand Abilities:

  • Proficiency with MS Office Suite, especially in Excel and PowerPoint, and other productivity tools.

  • Exceptional written and verbal communication skills.

Educational Requirements:

  • Bachelor’s degree preferred.

Experience Requirements:

  • Minimum of 5 years in an executive assistant or senior administrative role, preferably supporting C-level executives.
