Job summary

Odyssey is seeking an organized Executive Assistant & Office Manager to support our CEO and COO and own the day-to-day workplace experience for the team in our New York City office. You will manage calendars, coordinate travel, draft communications, and help coordinate office operations and events.

You will thrive in a role that requires structured workflows, proactive problem-solving, and the ability to switch between calendar management and office logistics as the company scales.

Qualifications

  • 1–3 years of EA/administrative experience.
  • Excellent written and verbal communication.
  • Highly organized with strong attention to detail.
  • Comfortable supporting two executives and onsite NYC office.
  • Experience with calendar/travel tools is a plus.

Responsibilities

  • Executive Support (CEO & COO): manage calendars, resolve scheduling conflicts, prioritize time.
  • Coordinate domestic and occasional international travel logistics for executives and team members.
  • Draft and manage light correspondence for the CEO/COO.
  • Prepare materials or agendas for recurring meetings.
  • Act as coordinator between executives and internal/external stakeholders.
  • Office Management: coordinate team lunches and events.
  • Manage snacks and supplier relationships; support day-to-day operations.
  • Plan and assist with office expansion/relocation (spring 2027).

The Role

We're looking for a highly organized, detail-oriented Executive Assistant & Office Manager to support our CEO and COO while also owning the day-to-day workplace experience for the team. This is a role for someone who thrives on creating structure and organized systems, anticipates needs before they're asked, and enjoys the variety of switching between calendar Tetris and stocking the snack shelf.

Key Responsibilities

Executive Support (CEO & COO)

  • Manage and proactively maintain calendars for two executives, resolving scheduling conflicts and prioritizing time

  • Coordinate domestic (and occasional international) travel logistics for executives as well as other team members as needed: flights, hotels, itineraries, etc.

  • Draft and manage light correspondence and follow-ups on behalf of the CEO/COO

  • Prepare materials or agendas for recurring meetings as needed

  • Act as a point of coordination between the executives and internal/external stakeholders

Office Management / Workplace Experience

  • Coordinate weekly team lunches and other recurring team events

  • Manage office snack/supply ordering and vendor relationships

  • Support day-to-day office operations and act as first point of contact for workplace-related questions

  • Support the planning and execution of an office expansion and/or full office relocation (anticipated spring 2027), including logistics coordination, vendor communication, and move-day support

  • Help maintain a positive, well-run office environment as the team scales

Qualifications
  • 1-3 years of experience in an EA, office coordination, or administrative role (internships count)

  • Excellent written and verbal communication

  • Highly organized with strong attention to detail and follow-through

  • Comfortable managing competing priorities across two executives

  • Discretion with sensitive/confidential information

  • Proactive, low-ego, "no task too small" attitude

  • Experience with calendar/travel tools (Google Workspace, Outlook, TripActions, etc.) a plus

  • Must be comfortable working 4-5 days a week onsite in our NYC office
