A leading media organization is seeking an Executive Assistant & Newsroom Administrator to provide dedicated support to the SVP of Content. This hybrid role requires strong organizational skills and experience in a fast-paced environment. The successful candidate will manage complex schedules, coordinate travel, and assist with newsroom operations while ensuring effective communication across teams. The position is based in Washington, D.C., requiring full-time on-site presence five days a week.
The Hill is seeking a proactive and highly organized Executive Assistant & Newsroom Administrator to provide dedicated executive support to the SVP of Content and manage key administrative functions within the newsroom. This hybrid role focuses on ensuring seamless day-to-day operations for both the SVP and broader newsroom, balancing high-level executive support with essential office and workflow coordination. This position is fully on-site and requires in-office presence five days a week.
- Manage the SVP’s complex calendar, including scheduling internal and external meetings across multiple time zones and prioritizing competing demands.
- Coordinate domestic and international travel arrangements, preparing detailed itineraries and handling any changes in real-time.
- Prepare, submit, and reconcile expense reports on behalf of the SVP using Concur, ensuring timely and accurate processing.
- Anticipate needs and provide proactive support to keep the SVP’s daily workflow organized and efficient.
- Assist with Accounts Payable, including invoice processing, vendor coordination, and reconciliation of corporate credit card spending.
- Act as delegate for company PCard expense reporting, ensuring proper coding, documentation, and compliance with expense policies.
- Manage royalty payments and support quarterly 1099 reporting for freelance contributors, working closely with Finance and Editorial teams.
- Coordinate with technical operations team to order and maintain office supplies; coordinate repairs, service orders, and food deliveries for business meetings, tracking participants for expense reporting.
- Monitor and maintain conference room schedules, ensuring optimal use of meeting spaces.
- Coordinate newsroom-wide and company-wide communication of business updates as needed.
- Review, route, and respond to reader correspondence, press releases, and other general mail, ensuring timely action by relevant teams.
- Manage the newsroom’s “Reader Messages” inbox, forwarding article edits, ad inquiries, and subscription questions to appropriate contacts.
- 3+ years of experience as an executive assistant, preferably supporting senior leadership in a fast-paced media or content-driven environment.
- Proven ability to manage complex calendars, travel logistics, and expense reporting with precision.
- Strong organizational skills and attention to detail, with the ability to juggle multiple priorities independently.
- Familiarity with Concur, Adobe, Microsoft Office Suite; experience in Accounts Payable and office management is a plus.
- Excellent written and verbal communication skills, with a professional demeanor and proactive problem-solving approach.
- High level of discretion, integrity, and ability to handle sensitive and confidential information.
This position is based in The Hill’s Washington, D.C. headquarters and requires full-time, on-site presence five days a week to support executive leadership and newsroom operations.
