Job summary

Baltimore City is seeking an Executive Assistant to provide high-level administrative, scheduling, and operational support to the Executive Director and senior leadership of BCMOOR. The role requires exceptional organization, discretion, and the ability to manage multiple priorities in a fast-paced government environment.

The Executive Assistant will coordinate meetings and interagency collaborations, plan office events, and prepare reports and communications.

Qualifications

  • Associate degree or equivalent; Bachelor’s preferred.
  • Minimum of 2 years of progressively responsible administrative experience, preferably in government/public health.
  • Experience with event planning and support.
  • Strong written and verbal communication skills; meticulous attention to detail.
  • Proficiency in Microsoft Office, Google Workspace, and virtual meeting platforms (Zoom/Teams).

Responsibilities

  • Manage and maintain the Executive Director's calendar, meetings, briefings, and interagency collaborations.
  • Prepare agendas and background documents; attend meetings to take notes and distribute action items.
  • Plan and execute office events, including community sessions and public engagements; handle logistics and registrations.
  • Prepare reports and communications for the public, City Council, and partner agencies; handle travel arrangements and expense reporting.

You can learn about our benefits here: https://humanresources.baltimorecity.gov/hr-divisions/benefits**Job Summary** The Executive Assistant provides high-level administrative, logistical, and operational support to the Executive Director and senior leadership team of BCMOOR.This position plays a critical role in ensuring the smooth functioning of the office, which leads the City's comprehensive overdose response strategy, administers opioid restitution funds, and ensures compliance with Paragraph 97 of the Consent Decree. The Executive Assistant manages complex schedules, coordinates meetings and events, handles sensitive communications, and serves as a trusted point of contact for internal and external partners. The ideal candidate is highly organized, proactive, detail-oriented, and committed to the mission of reducing overdose deaths and improving public health outcomes in the City.**Essential Functions** Administrative & Scheduling Support* Manage and maintain the Executive Director's calendar, including scheduling meetings, briefings, public appearances, and interagency collaborations.* Support coordination and planning for BCMOOR scheduling across divisions.* Coordinate meeting logistics, including room reservations, technology setup, and material preparation.Meeting Preparation & Documentation* Prepare agendas, briefing materials, and background documents for internal and external meetings.* Attend meetings to take accurate notes; distribute summaries and action items promptly.* Track and follow up on outstanding tasks and deliverables.Event Planning & Support* Support planning and execution of office events, including community listening sessions, Restitution Advisory Board meetings, press events, and public engagement activities.* Assist with event logistics, including vendor coordination, materials preparation, and registration.Operational & Communications Support* Assist with the preparation of reports, presentations, and communications to the public, City Council, and partner agencies.* Manage travel arrangements and expense reporting for the Executive Director and senior staff.* Maintain a high level of confidentiality when handling sensitive information related to funding allocations and interagency activities.**Minimum Qualifications****Education:** Associate's degree from an accredited college or university. Bachelor's degree in public administration, Public Health, Communications, or a related field is preferred.**AND****Experience:** Have a minimum of 2 years of progressively responsible administrative experience, preferably in government, public health, or nonprofit organizations. Experience with event planning and support. Exceptional organizational skills with meticulous attention to detail. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (Zoom, Teams).**OR****Equivalency Notes:** Have an equivalent combination of education and experience.**Additional Information****Background Check** Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening, and must be successfully completed.**Probation** All persons, including current City employees, selected for this position must complete a 6-MONTH mandatory probation.**Financial Disclosure** This position is required to complete a Financial Disclosure pursuant to Sections 7-7, 7-8, and 7-9 of the City Ethics Law.
