Job description

Native Americans in Philanthropy (NAP) is a membership-based organization that promotes reciprocity and investment in, with and for Native peoples to build healthy and sustainable communities for all. NAP is a powerful and growing network of Native and non‑Native nonprofits, tribal communities, foundations and community leaders committed to engaging, learning and sharing resources and best practices grounded in the Native tradition of reciprocity.

NAP’s CEO is a valued voice advocating for effective and responsive philanthropy in, with, and for tribal communities. Her work requires extensive travel meeting with key stakeholders acting in concert with NAP’s mission.

Reporting directly to the NAP CEO, the Executive Assistant provides executive support in a one‑on‑one working relationship. The Executive Assistant conserves the CEO’s time and represents the CEO internally and externally, becoming a liaison between the CEO, key relationships, NAP board of directors, staff and consultants. NAP has dual offices in Los Angeles, California and Minneapolis, Minnesota. The Executive Assistant will work closely with NAP staff in both locations.

Roles and Responsibilities
Executive Support
  • Performs administrative work of a confidential nature for the CEO. This support includes answering inquiries, scheduling and managing calendars and correspondence.
  • Arranges the CEO’s travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations.
  • Edits and proofreads correspondence, reports and materials for the CEO when needed.
  • Acts with a high degree of independence as liaison with inside and outside contacts in preparing meeting materials, minutes, programs, updates, and other support functions related to the office.
  • Prepares reports and correspondence for leadership and advisory teams.
  • Stays abreast of news and developments in the field by reading websites and professional publications pertinent to NAP’s mission and activities, sharing important information with appropriate NAP team members.
  • Develops, prepares, and/or composes responses to memos and correspondence requiring research, judgment and discretion; routinely writes, edits and submits materials for internal/external communications.
  • Completes special assignments as assigned by the CEO.
  • Conducts some travel based upon CEO’s schedule and needs of the organization.
Education Requirements
  • Bachelor's degree or equivalent required.
  • Three plus years senior level administrative experience with responsibility over multidisciplinary functions.
  • Strong work tenure: three‑five years of experience working with a Native non‑profit organization and/or other community/economic development organization.
  • Experience and/or interest in internal and external communications, partnership development, public policy, and fundraising.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Social Media web platforms and SalesForce or similar software.
