Job summary

Core Specialty seeks a Legal Executive Assistant to provide high-level administrative and project support to the Executive Vice President & General Counsel. This role ensures smooth daily legal workflows, handles sensitive information with discretion, and coordinates with internal teams and external partners.

You will manage the General Counsel’s calendar, arrange travel, prepare briefing materials, draft and format legal documents, and maintain filing systems.

Qualifications

  • Requires strong writing, editing, and organizational skills.
  • Experience supporting executives or legal teams is preferred.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Authorized to work in the U.S. without sponsorship.

Responsibilities

  • Manage General Counsel calendar, travel, and briefing materials.
  • Draft and format legal correspondence, memoranda, presentations, and reports.
  • Maintain organized digital and physical filing systems.
  • Assist with contract intake, routing, signatures, and tracking.
  • Prepare agendas, materials, and track action items for meetings.
  • Support regulatory filings and compliance training logistics.
  • Conduct basic legal and business research and prepare summaries.
  • Serve as a professional contact for stakeholders, counsel, regulators, and vendors.
  • Process invoices and manage budgets and expenses.
  • Other duties as assigned.

Job description

- The Legal Executive Assistant provides high‑level administrative, organizational, and project support to the Executive Vice President & General Counsel. This role ensures the smooth operation of daily legal workflows, manages sensitive information with discretion, and serves as a key point of coordination between the General Counsel, internal teams, and external partners.

Key Accountabilities/Deliverables:
  • Manage the General Counsel’s calendar, schedule meetings, coordinate travel, and prepare briefing materials for internal and external engagements.
  • Draft, edit, proofread, and format legal correspondence, memoranda, presentations, and reports.
  • Maintain organized digital and physical filing systems.
  • Assist with contract intake, routing, signature processes, and tracking.
  • Prepare agendas, compile materials, and track action items for legal team meetings, board meetings, and cross‑departmental sessions.
  • Help maintain corporate records, support policy updates, assist with regulatory filings, and coordinate compliance training logistics.
  • Conduct basic legal and business research, compile background information, and prepare summaries for the General Counsel.
  • Serve as a professional point of contact for internal stakeholders, outside counsel, regulators, and vendors.
  • Manage incoming inquiries and prioritize issues requiring the General Counsel ’s attention.
  • Process invoices, manage budgets and expense reports, coordinate document signatures, and support department‑wide administrative needs.
  • Other duties as assigned.
Technical Knowledge and Understanding:
  • Strong writing, editing, and organizational skills.
  • Proficiency with Microsoft Office, document management systems, and e‑signature platforms.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and ability to manage multiple priorities.
  • Understanding of corporate governance processes preferred.
Experience:
  • Associate’s or bachelor’s degree preferred; legal administrative training preferred.
  • Experience supporting attorneys, executives, or legal departments.
  • Ability to manage multiple priorities in a fast‑moving, deadline‑driven environment.
