We are seeking an experienced and professional Executive Assistant to join our prestigious law firm. The successful candidate will provide high-level administrative support to our managing partners, ensuring the smooth operation of our office. This is a unique opportunity to work in a fast-paced environment where your skills in organization, communication, and problem-solving will be greatly valued. You will be responsible for a wide range of tasks including travel arrangements, calendar management, meeting coordination, project management, and legal research. The ideal candidate will have a strong ability to multitask, maintain confidentiality, and work proactively. This is a permanent role, requiring a minimum of 5-7 years of experience.

Responsibilities

  • Provide comprehensive administrative support to managing partners, including but not limited to, managing calendars, scheduling meetings, and arranging travel.
  • Assist with the preparation and review of legal documents, contracts, and reports.
  • Conduct legal research and ensure legal compliance.
  • Manage office budget and prepare expense reports.
  • Coordinate and manage projects, ensuring timely completion.
  • Handle confidential information with discretion and integrity.
  • Utilize Microsoft Office Suite for various administrative tasks.
  • Provide excellent customer service to clients and stakeholders.
  • Collaborate with the team to ensure smooth office operations.
  • Use critical thinking and decision-making skills to solve problems and resolve conflicts.
  • Prepare presentations and assist with meeting preparations.

Qualifications

  • Minimum of 3 years of experience as an Executive Assistant, preferably in a law firm.
  • Proficiency in Microsoft Office Suite.
  • Exceptional organizational skills and ability to multitask.
  • Strong communication skills, both written and verbal.
  • Proven experience in calendar management, meeting coordination, and travel arrangements.
  • Experience in budget management and expense report preparation.
  • Proven ability to handle confidential information.
  • Strong problem-solving skills and ability to make decisions under pressure.
  • Experience in legal research, legal document preparation, and contract review.
  • Excellent writing, editing, and proofreading skills.
  • Ability to work proactively and independently, as well as part of a team.
  • Strong attention to detail and high level of accuracy.
  • Knowledge of legal administration and compliance is a plus.
