Job summary

Avera Behavioral Health Center-Sioux Falls is seeking an Executive Assistant II to support executive staff and Department Directors, performing diverse administrative duties with minimal supervision.

This role coordinates schedules, travel, meeting logistics, and records, ensuring confidentiality and CARE principles while maintaining organized files and timely reporting.

Responsibilities

  • Transcribe handwritten or verbal communications into typed documents
  • Coordinate schedules and appointments
  • Schedule committee meetings and arrange rooms
  • Arrange travel for Administration including tickets, lodging, and car rentals
  • Open, review, and distribute mail
  • Greet and schedule visitors; screen calls professionally
  • Assist with records maintenance for QA, Joint Commission, OSHA as required

A Brief Overview

The Executive Assistant II is accountable to perform diverse duties of an administrative nature. Provides assistance to Executive staff and Department Directors and works with minimal instruction or supervision.

What you will do
  • Performs generalized duties including, but not limited to: Transpose hand written or verbal communication to typed format (i.e. correspondence, reports, charts, minutes of meetings); Edits and makes copies of transposed information if necessary; Collates and assembles reports and documents.

  • Coordinates schedules and appointments.

  • Schedules committee meetings and arranges for rooms in an accurate fashion.

  • Makes travel arrangements for Administration, including but not limited to: Ordering tickets, make and confirm lodging and airline reservations and car rentals.

  • Opens, reviews and distributes interoffice and external mail.

  • Bring priority items to Administration's attention.

  • Answers office phone, screens and directs calls in a professional and efficient manner.

  • Schedules and greets office visitors.

  • May receive visits and calls regarding complaints or concerns which may be resolved or referred to proper person for resolution.

  • Determines and suggests appropriate referrals from knowledge gained in previous situations.

  • Determines urgency of individual situation and need to interrupt appropriate Administrative representative.

  • Assists with the analysis, collection and maintenance of records as needed by Quality Assurance, Joint Commission accreditation, OSHA guidelines or as may be required by the law.

  • Attends meetings as required by Administration.

  • Participates on committees as directed.

  • May be assigned as support to operational committees and required to schedule the meetings as well as serve as recorder to the committee.

  • Completes projects as assigned by the respective Vice President.

  • Maintains all files in complete and organized manner for respective Vice President.

  • Maintains all original contracts for the organization according to the parameters established by the Avera contract policy.

The individual must be able to work the hours specified. To perform this job successfully, an individual must be able to perform each essential job function satisfactorily including having visual acuity adequate to perform position duties and the ability to communicate effectively with others, hear, understand and distinguish speech and other sounds. Required Education, License/Certification, or Work Experience:
  • Associate's or equivalent from two- college or technical school or equivalent combination of education and experience

  • 4-6 years Related experience and/or training; or equivalent combination of education and experience
