Job Description

Work Arrangement :

This role is categorized as hybrid. The successful candidate is expected to report to GMs Global Technical Center office at least three times per week.

Additional flexibility may be required, including working onsite on Mondays and/or Fridays.

The Role :

The Executive Administrative Assistant will support one or more executives, including Duncan Aldred, GM SVP and President GMNA. Responsibilities include ensuring smooth operations and effective communication within a dynamic organization. The ideal candidate will be proactive, highly organized, detail-oriented, capable of managing multiple tasks, and skilled at building relationships across teams. They should thrive in a fast-paced, high-energy environment, be adaptable to change, solve problems proactively, make high-quality decisions, and think strategically. Embracing ambiguity, fostering innovation, and collaborating effectively are essential for success.

What You'll Do :

  1. Administrative Support : Manage complex calendars, travel arrangements, scheduling meetings, handling expenses, and managing badges, including coordination with board members and their consultants.
  2. Document Preparation : Create, edit, and format documents and presentations, ensuring accuracy and professionalism in line with team standards.
  3. Communication : Act as a liaison between executives and internal/external stakeholders, craft clear communications, and handle confidential information discreetly.
  4. Team Coordination : Organize meetings and events, prepare agendas, find conference rooms, take notes, and follow up on action items.
  5. Initiative : Identify and implement process improvements to enhance productivity and efficiency; provide backup support as needed.
  6. Cross-Functional Collaboration : Collaborate across departments to gather information, coordinate efforts, and ensure project success. Build strong relationships with colleagues, especially EA peers and SLT EA peers.
  7. Event Planning : Assist in planning and executing events, managing logistics seamlessly.

Required Skills & Abilities :

  • Minimum 5 years supporting senior executives or leaders.
  • High integrity and discretion handling confidential matters.
  • Ability to operate effectively in a fast-paced, dynamic environment.
  • Learning agility and strategic work methodology.
  • Proactive in anticipating leader and business needs.
  • Ability to work independently in a changing environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills, with effective prioritization.
  • Attention to detail and accuracy.

  • Professional training or certification in administrative skills/support.
  • Experience supporting SVP-level executives.
