COMPENSATION

Annual Pay Range: $69,936.12 - $94,414.29

Hourly Pay Range: $33.623137 - $45.391484

Salary offers will be made within the posted pay range and will be based on candidate's experience (paid or unpaid) that is directly relevant to the position.

If you answered “yes” to the questions above, we want you to join our team as an Executive Assistant at the Clackamas County District Attorney’s Office. If selected for this position, you will provide high level confidential administrative support to the District Attorney and Management Team, as well as perform operational and case management support functions. This position involves managing a wide range of complex, sensitive, and confidential matters. Key responsibilities include calendar management, travel coordination, workforce administration, financing processing, and other operational support activities. You will also provide exceptional customer service to members of the public, partner agencies, elected officials, and internal employees. Additionally, you will support employee relations and human resources activities, including coordinating and assisting with personnel processes within the department. Your work will help ensure the office operates efficiently and delivers responsive, professional service. The most competitive candidates will have strong interpersonal and communication skills, experience handling highly confidential and sensitive matters, are highly organized, detail-oriented, resourceful, team-focused, and able to take initiative, multi-task and shift priorities frequently in a fast paced work environment.

Required Minimum Qualifications/ Transferrable Skills:*
  • A minimum of two (2) years of relevant administrative or executive support experience including:
  • Working with confidential and sensitive information and documents
  • Managing calendars, scheduling, and coordinating travel
  • Drafting, proofing, and preparing documents and correspondence
  • Communicating effectively with multiple audiences

  • At least two (2) years of relevant experience providing administrative or executive support in a legal office setting

  • Project management experience
  • Intermediate proficiency with Microsoft Word, Excel, PowerPoint and Outlook
Pre-Employment Requirements:
  • Must pass post-offer, pre-employment drug test.
  • Must pass a criminal history check which may include national or state fingerprint records check
  • Driving is required for County business on a regular basis or to accomplish work. Incumbents must possess a valid driver's license, and possess and maintain an acceptable driving record throughout the course of employment.

TYPICAL TASKS

Duties may include, but are not limited to:

  • Provides administrative support and assistance to elected District Attorney. Represents the District Attorney at conferences and meetings. Gathers data, drafts/edits reports, and presents findings and recommendations in support of operational planning. Manages DA calendar and organizes, coordinates, and plans appointments, meetings, events, conferences, and travel. Responds to inquiries on behalf of the DA from the public, partner agencies, elected officials, and others.
  • Provides operational support to the District Attorney's Office. Orders and organizes office supplies, maintains office supply inventory, reports facility and technology issues, makes travel arrangements for case participants and employees, and other assigned operations duties.
  • Provides a high level of customer service to internal and external customers. Prioritizes and summarizes critical or urgent issues directed to the executive and directs inquiries from the public, employees, management, and other staff to appropriate individuals other than the executive. Conducts follow-up investigations on unresolved complaints, independently prioritizes and triages workload.
  • Assists with creating and managing department budget. Carries out financial duties such as purchasing, reconciling P-Card transactions, processing payments, issuing checks, and managing internal financial records. Maintains compliance with established budgetary and operational regulations and guidelines.
  • Provides administrative support to management for processes involving sensitive, confidential matters such as disciplinary issues, grievances and complaints, workplace investigations, classification reviews, and collective bargaining matters among others. Duties may include, but are not limited to, taking meeting minutes, drafting documents, conducting research, formulating and presenting recommendations, and participating in strategic planning surrounding employee labor relations matters. Acts as liaison to human resources regarding confidential employee matters such as filing personnel action forms, performance summaries, and pre-employment documentation.
WORK SCHEDULE

This position works 40 hours during a standardworkweek of Monday through Friday. Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended.

This position is designated as on-site/in-person. It is expected that the selected candidate will perform duties at the specified on-site work location.
