Responsibilities
Executive Assistant- Chief Development Officer
•The Executive Assistant will play a critical role in supporting the Chief Development Officer and the broader development team in managing complex calendars, coordinating internal and external meetings, expense reports, travel, and drafting, editing and formatting documents including emails, agendas and meeting materials.
•Manage complex calendars with frequent changes, prioritizing high-level meetings, calls and internal/external engagements for CDO and Development team
•Proved a bridge for smooth communication between the Development team and internal departments, demonstrating leadership to maintain credibility, trust and support in all interactions
•Coordinate domestic travel, including logistics, itineraries and expense reconciliation
•Participate in meetings and draft, edit and format documents including meeting materials, presentations, reports and documents
•Make recommendations regarding process changes and solutions to improve department efficiency.
•Maintain department specific databases, file systems, mailing lists and logs, as required.
•Respond to requests via email, voicemail, fax and phone in a timely manner.
•Coordinate project invoices with accounting and legal.
•Gather information, research matters, and write emails and accurate reports in a form which can be used by management
•Utilize discretion and independent judgement on behalf of the Development Department resolving unique or non-recurring administrative issues and needs.
•Assist with department events.
•Other related duties as assigned.
Executive Services- Team Support
·Weekly front desk duty, shared team responsibility during lunch time.
·Share front desk coverage when Administrative Assistant is OOO.
·Teamwork approach to help support each other as back up when Executive Assistants ’s are OOO.
·Assist with tasks or projects that require additional support to keep our office functioning smoothly.
