Job summary

Scion Nonprofit Staffing is seeking an experienced Executive Assistant & Board Liaison for an influential nonprofit organization advancing Tribal health in the Pacific Northwest. This full-time, direct-hire role is based in Portland, Oregon.

You will provide high-level executive support and partner with the Board on governance, policy, and engagement. The ideal candidate has 5+ years in executive administration, 3+ years with Tribes, and strong communication.

Qualifications

  • 5+ years of progressively responsible executive administration experience.
  • 3+ years of professional experience working with Tribes, Tribal organizations, Tribal communities, or Tribal health clinics.
  • Bachelor’s degree in Business Administration, Public Health, Social Sciences, or closely related field (8 years of qualifying experience may substitute).
  • Demonstrated experience planning and coordinating large, complex meetings and events with strong writing, verbal communication, organization, discretion, initiative, and follow-through.

Responsibilities

  • Provide high-level executive administrative support including complex calendar management, correspondence, reports, presentations, contracts, invoices, purchase orders, and deadline tracking.
  • Coordinate Board and committee meetings, including agendas, materials, minutes, action items, governance records, bylaws, resolutions, and Board management systems.
  • Support government affairs and policy activities by coordinating meetings, reviewing and summarizing policy information, tracking key issues, and ensuring follow-through.
  • Plan and coordinate large and complex meetings, events, retreats, and activities involving Tribal leaders, Board members, executives, staff, and external stakeholders.
  • Coordinate executive and Board travel, including itineraries, expenses, reimbursements, documentation, approvals, and logistics.
  • Maintain confidential records and sensitive information while collaborating across departments to support effective organizational operations.

Scion Nonprofit Staffing has been engaged to conduct a search for an experienced Executive Assistant & Board Liaison on behalf of an impactful nonprofit organization dedicated to advancing the health and well-being of Tribal communities throughout the Pacific Northwest. This is an exciting full-time, direct-hire opportunity based in Portland, Oregon.

The Executive Assistant & Board Liaison will provide high-level administrative support to executive leadership while serving as an integral partner in Board relations, government affairs, policy support, meeting and event coordination, travel management, communications, and organizational operations. The ideal candidate brings substantial executive-level administrative experience, direct professional experience working with Tribal communities, exceptional communication skills, and the ability to independently manage complex priorities with discretion and strong follow-through.

QUALIFICATIONS:
  • 5+ years of progressively responsible experience in executive administration, Board relations, or a closely related field.
  • 3+ years of professional experience working with Tribes, Tribal organizations, Tribal communities, or Tribal health clinics is required.
  • Bachelor’s degree in Business Administration, Public Health, Social Sciences, or a closely related field; 8 years of qualifying progressively responsible experience may substitute for the degree requirement.
  • Demonstrated experience planning and coordinating large, complex meetings and events, with exceptional professional writing, verbal communication, organization, discretion, initiative, and follow-through.
  • Expert-level proficiency with Microsoft Word, Excel, PowerPoint, Teams, SharePoint, Adobe Acrobat, and Zoom; intermediate proficiency with OnBoard or a similar Board management platform.
TRAVEL:

This position requires approximately 20% local travel and 10% overnight travel, including attendance at quarterly Board meetings that may be hosted throughout the region. Candidates must be comfortable with regular travel and occasional multi-night stays.

COMPENSATION AND BENEFITS:

This exciting career opportunity offers a salary range of $76,000–$95,000 annually, along with health, vision, and dental insurance, retirement contributions, PTO, and paid holidays.
