The NYC Department of Design and Construction seeks to hire an Executive Assistant / 311 Coordinator to join the Operations Division. Reporting to the Assistant Commissioner of Operations, the Program Coordinator will answer 311 calls and agency mail emails (City of New York - Correspondence), accurately record information, provide necessary responses, and transfer calls or emails to the appropriate division. The candidate must track calls, emails, and responses, and submit monthly logs and reports. Responsibilities include drafting correspondences, memos, and emails for Operations staff, reviewing and updating the copier database with the Procurement team, assisting with KPI reporting, maintaining the Operations Hub intranet page, and tracking organizational chart updates. The candidate will also serve as backup to the DAO in her absence or assist with related functions. The ideal candidate is organized, detail-oriented, with strong communication skills, excellent time management, and adaptability to change and strategic thinking.
Proficiency in Microsoft Office Suite, especially advanced Excel skills (data entry, formulas, charts, sorting, filtering, calculations), PowerPoint (creating and formatting presentations with multimedia), and Outlook (email management, scheduling, calendar maintenance).
