Job summary

Christianson in Willmar, MN is seeking an Executive Assistant to provide strategic administrative support to firm leadership. You will manage complex calendars, coordinate meetings and travel, and track key initiatives to keep projects moving forward.

The ideal candidate thrives in a fast-paced environment, demonstrates discretion, and can coordinate across multiple teams. On-site role with room for professional growth and long-term development within the firm.

Qualifications

  • Bachelor’s degree in Administration, Management, Communications, or related field preferred.
  • 2+ years supporting senior leaders, executives, or leadership teams.
  • Exceptional organizational and time-management skills with ability to manage multiple priorities.
  • Strong written and verbal communication skills, drafting professional correspondence and presentations.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Strong attention to detail and follow-through with tracking projects.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Ability to use Microsoft CoPilot and AI/automation tools to analyze efficiency improvements.
  • Ability to anticipate needs and solve problems independently with sound judgment.
  • Willingness to travel between office locations.

Responsibilities

  • Executive Support for CEO: manage complex calendars, coordinate meetings, arrange travel and logistics, screen communications.
  • Strategic Project Coordination: track action items, deadlines, and cross-functional initiatives, prepare reports and materials.
  • Partner & Board Support: coordinate meetings, prepare agendas/minutes, maintain documentation.
  • Communication & Relationship Management: draft internal communications, ensure timely organizational messaging, connect leadership with staff.
  • Event & Community Coordination: organize internal meetings, leadership retreats, and firm-sponsored events.

Job Description:

We areseekinga highly organized, proactive Executive Assistant to provide strategic administrative support to firm leadership. This role serves as a trusted partnerto theChief Executive Officer (CEO)by coordinating priorities, managing communications, tracking key initiatives, and ensuring important projects continue moving forward.

The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced environment where priorities shift and no two days are exactly alike. This individual excels at anticipatingneeds, solving problems before they arise, and creating organization out of complexity.

While this position does not directly manage firm operations, it plays a critical role in supporting the leaders who do. Success in this role requires exceptional discretion,strong communication skills, sound judgment, and the ability to coordinate across multiple teams and stakeholders.As the firm grows, this position has the potential to evolve, creating opportunities for increased responsibility, professional development, and long-term career growth.

Examples of the duties:
Executive Support for CEO
  • Manage complex calendars and schedules for firm leadership
  • Coordinate meetings, agendas, materials, and follow-up activities
  • Arrange travel, events, and logisticsfor partner and leadership meetings
  • Screen and prioritize communications
Strategic Project Coordination
  • Track action items, deadlines, and key firm initiatives
  • Follow up with stakeholders to ensuretimelycompletion of commitments
  • Assistwith cross-functional projects and special initiativesas directed by CEO
  • Create reports, presentations, and meeting materials
  • As opportunities arise,collaborate with leadership and staff toassistwith processimprovements projects and implementation.
Partner & Board Support
  • Coordinate Partner Board meetings and leadership retreats
  • Prepare agendas, minutes, and supporting documentation
  • Maintain records and organizational documentation
  • Ensure action items are documented and communicated
Communication & Relationship Management
  • Serve asa central pointof coordination between leadership and staff
  • Draft internal communications on behalf of firm leadership
  • Help ensure consistency and timeliness of organizational messaging
  • Build positive working relationships across all office locations
  • Facilities and vendor management, including coordination of efforts and organization of contracts and other related documentation.
Event & Community Coordination
  • Coordinate internal meetings, retreats, and leadership events
  • Support community engagement and firm-sponsored initiatives
  • Assistwith business development events and relationship-building activities
Qualifications & Characteristics
  • Bachelor’s degree in Administration, Management, Communications, or a related field preferred
