Job summary

Qualifications

  • 5+ years of experience in a support capacity within a law firm or similar environment.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong initiative and judgment; work independently on attorney tasks.
  • Excellent interpersonal skills for high-pressure client interactions.
  • Strong administrative and organizational skills with the ability to multitask.
  • Excellent written and oral presentation skills with attention to detail.
  • Team player who works well under pressure.
  • Knowledge of big law or legal environments preferred.
  • Proficiency in basic and legal-specific applications (MS Word, Excel, PowerPoint).
  • Willingness to learn new technology and share knowledge with others.

Responsibilities

  • Coordinate complex, senior-level internal/external meetings and conference calls.
  • Handle a high volume of phone calls.
  • Respond and follow up on client requests.
  • Maintain complex calendars and prioritize meeting logistics.
  • Coordinate domestic and international travel arrangements and requests.
  • Proofread and revise documents as requested.
  • Enter attorney time via InTapp and Elite 3E.
  • Create, revise and format legal documents, spreadsheets and presentations.
  • Coordinate client monthly billing and engagement letters.
  • Open new matters and manage conflicts and matter files.
  • Conduct internet research as directed by attorneys.
  • Maintain paper and electronic filing systems.
  • Interface with clients to build positive business relationships.
  • Perform additional duties as assigned by management.

Job description

This position will provide our attorneys and clients with a superior level of technical and administrative support. Essential job functions include calendar management, coordinating travel, meetings and conference calls, heavy phone work and client interaction.

Responsibilities
  • Coordinate complex, senior-level internal/external meetings and conference calls.
  • Handle a high volume of phone calls.
  • Respond and follow up on client requests.
  • Maintain complex and detailed calendars and prioritize meeting requests and related logistics.
  • Coordinate a high volume of domestic and international travel arrangements and process business requests.
  • Proofread and make revisions to documents as requested.
  • Enter attorney’s time via InTapp and Elite 3E.
  • Create, revise and format legal documents, spreadsheets and presentations.
  • Coordinate client monthly billing.
  • Open new matters and coordinate engagement letters, conflicts and matter management.
  • Conduct internet research as directed by attorneys.
  • Establish and maintain paper and electronic files.
  • Interface and establish ongoing positive business relationships with clients.
  • Any additional responsibilities as required by management.
Knowledge, Skills & Abilities
  • 5+ years of experience in a support capacity within a law firm, other legal or similar environment.
  • Ability to maintain confidentiality.
  • Strong initiative; ability to exercise sound judgment, work independently and make decisions on behalf of attorneys.
  • Excellent interpersonal skills; has the ability to work with different personalities in high-pressure situations.
  • Strong administrative and organizational skills; ability to prioritize tasks and juggle multiple priorities.
  • Excellent written and oral presentation skills; strong attention to detail.
  • Team player; work well under pressure.
  • Knowledge of Big Law or legal highly preferred.
  • Demonstrate proficiency in all basic, advanced and legal specific applications.
  • Proficiency in Word, Excel and PowerPoint.
  • Demonstrate desire and ability to learn new technology and willingness to share knowledge to assist others.
  • Self-starter who can manage competing priorities.
Education/Certifications

The firm offers a competitive compensation package comprised of base pay and discretionary year-end bonus for eligible employees. Benefits include, but are not limited to medical, dental, vision, disability coverage, life insurance, flexible spending plan and a 401K plan. Estimated salary range is $90,000.00-$110,000.00, plus overtime and bonus. Compensation decisions within the range are dependent on the facts and circumstances of each case including but not limited to the individual's skills, experience, and qualifications.
