About the Role

Midi is seeking an experienced and highly organized Executive Assistant to provide high-level administrative and operational support to the Chief Operating Officer and also the General Counsel. This is a critical role for ensuring the efficiency of two offices, supporting a wide range of activities across each leader, from calendaring and travel logistics to legal operations and internal coordination.

About the Role

Midi is seeking an experienced and highly organized Executive Assistant to provide high-level administrative and operational support to the Chief Operating Officer and also the General Counsel. This is a critical role for ensuring the efficiency of two offices, supporting a wide range of activities across each leader, from calendaring and travel logistics to legal operations and internal coordination.

Location: Please note this role is a hybrid opportunity based out of Palo Alto, CA with required availability to work onsite 3 days per week.

Responsibilities:

  • Calendar Management: Coordinate complex and high-volume scheduling for both the GC and COO, including cross-functional and external meetings.
  • Travel Coordination: Arrange travel, including itineraries, accommodations, and ground transportation. Prepare detailed travel briefs and process expense reports.
  • Meeting Preparation, Support, and Operations: Prepare and organize materials and manage logistics for executive meetings, board meetings, speaking engagements, and internal meetings for key leaders.
  • Presentation & Collateral Support: Support the development and refinement of decks and other internal documents.
  • Legal Operations Support:
    • Support contract workflows, including intake, tracking, and execution.
    • Monitor key legal metrics and maintain up-to-date dashboards.
    • Assist in contract lifecycle management (CLM) system implementation and maintenance.
    • Migrate contracts from legacy systems and assist with organizing the company’s IP portfolio.
    • Track deadlines and notices for IP applications and filings.
    • Maintain and update internal legal resources in Notion or similar platforms.
    • Assist in management of board books and board platform.
Qualifications - What you will need to succeed:

  • 8+ years of experience as an Executive Assistant, with direct experience supporting senior executives in a fast-paced environment
  • Prior experience in a startup strongly preferred
  • Strong organizational, multitasking, and prioritization skills with a proactive, solutions-oriented mindset in order to meet the needs of two executives
  • High level of discretion in handling confidential and sensitive information
  • Excellent communication skills, both written and verbal, in particular conveying messages on behalf of the executives with finesse
  • Proficiency in G-Suite, Slack, Notion, and tools like Expensify; experience with contract lifecycle management (CLM) tools is a plus
  • Bay Area-based and available to work onsite up to 3 days/week
