Job description

Accelerate exists to dramatically improve student outcomes at scale by turning evidence into action. As a hub for advancing what works, Accelerate partners with states to scale proven, evidence-based practices that deliver measurable gains for students. We share knowledge and insights across the field to expand what’s possible, working alongside leaders to embed effective solutions into the fabric of public education. By aligning research, policy, and practice through state implementation, we turn evidence into measurable progress, helping students thrive.

Accelerate is a growing organization - equity-centered, results-oriented, and grounded in both optimism and practical implementation. We aim to build a small, talented, diverse team that embodies our core values: accelerating student achievement, seeking truth through evidence, embracing new ideas, multiplying impact through collaboration, and upholding accountability for results and how we achieve them. Team members bring both systemic experience and an entrepreneurial spirit to the work.

Position Overview

The Executive Assistant will support Accelerate’s executive team, the Chief Executive Officer, President, and Chief External Affairs Officer, by managing their calendars, preparing them for meetings and engagements, and coordinating their travel. By protecting the executives’ time and making sure they arrive at every commitment prepared, this role directly expands the team’s capacity to build partnerships, represent Accelerate externally, and advance our mission.

The ideal candidate is a proactive, highly organized professional who thrives on supporting several senior leaders at once. They anticipate needs before they arise, juggle competing priorities with sound judgment, and know when to make a call and when to escape. They have excellent written and verbal communication skills, a keen eye for detail and quality, and enjoy working in a fast-paced, results-driven environment. Above all, they handle confidential matters with discretion.

What you’ll help us do:
Calendar Management and Scheduling
  • Manage complex, frequently changing calendars for the CEO, President, and Chief External Affairs Officer, prioritizing commitments and proactively resolving conflicts based on each executive’s goals and preferences.
  • Coordinate across all three executives’ calendars to schedule joint meetings, leadership team sessions, and board-related commitments.
  • Serve as the primary scheduling contact for external partners and stakeholders, including state education leaders, funders, board members, and partner organizations, representing Accelerate with professionalism and responsiveness.
  • Anticipate scheduling needs around key organizational moments, such as board meetings, team retreats, speaking engagements and conference season, building in preparation and travel time.
  • Track follow-ups, deadlines, and commitments arising from executive meetings so that nothing falls through the cracks.
Meeting Preparation and Materials
  • Prepare briefing materials ahead of meetings and engagements, including agendas, background on attendees and organizations, relevant prior correspondence, and talking points developed with staff.
  • Compile and organize documents, presentations, and collateral for board meetings, funder meetings, speaking engagements, conferences, and site visits.
  • Coordinate with staff across workstreams to gather content and ensure materials are accurate, current, and delivered on time prior to meetings.
  • Under the direction of the executive team, draft and edit correspondence, presentations, and other documents to be shared internally and externally, ensuring accuracy and high quality.
Travel and Logistics
  • Plan and book domestic travel for the executive team, including flights, lodging, and event registrations, balancing cost, efficiency, and each executive’s preferences.
  • Build detailed itineraries for travel; including meeting schedules, contacts, locations, and contingency plans.
  • Respond quickly to travel disruptions and last-minute changes, rebooking arrangements and updating calendars as needed.
  • Complete expense reports and reconcile travel and meeting expenses accurately and on time, in line with Accelerate’s policies.
Executive Office Support
  • Build and maintain positive professional relationships internally and externally, including with board members, funders, grantees, and other key stakeholders in the executives’ networks.
  • Handle confidential and sensitive information with discretion and sound judgment.
  • Build and maintain shared systems and processes in Asana, Google Workspace, Slack and other organizational platforms that keep the executive team’s commitments organized and visible.
  • Other relevant duties as assigned.
Who You Are:
  • Champion the potential of all students and efforts that advance diversity, equity, and inclusion based on data and evidence of impact.
  • Express confidence with humility, demonstrating empathy and respect for all stakeholders.
  • Tech-savvy systems builder who thrives in a fully remote environment, using Asana, Google Workspace, Slack, and AI tools such as Claude to organize complex work and make priorities, deadlines, and commitments visible across the team.
  • Embrace feedback and coaching, in the spirit of continuous improvement towards optimizing professional impact and achieving organizational goals.
  • Model an approachable and even-keeled demeanor, while multitasking in a fast-paced environment.
  • Communicate clearly and consistently, building strong relationships across a variety of internal and external stakeholders.
  • Listen openly, learn continuously, and connect authentically with diverse communities, including students, families, educators, policymakers, local leaders, and funders.
  • Demonstrate strong organizational skills and attention to detail, maintaining a working knowledge of a complex portfolio of grantees, research partners, and evaluation studies.
What You’ve Done:
  • 5+ years of experience as an Executive Assistant or in a similar role supporting senior leaders required; experience supporting multiple executives at the same time strongly preferred.
  • High school diploma or equivalent. Associate’s degree or professional certification preferred.
