Position Overview

Spacelabs is seeking an Executive Assistant to support our leadership team. This role involves providing administrative and organizational support to the President and other senior leaders, including document management, account tracking, travel planning, meeting preparation, and general office support. The ideal candidate will possess excellent organizational skills, meticulous attention to detail, and strong communication abilities. Handling confidential information with discretion is essential. The role requires working on diverse problems, exercising judgment within policies, and supporting Spacelabs Healthcare’s mission and values.

This position is 100% onsite in Snoqualmie, Washington.

Responsibilities
  1. Provide administrative support to the President and senior leaders, including scheduling meetings, preparing presentations, maintaining calendars, and coordinating travel.
  2. Monitor emails for critical appointments and meetings.
  3. Coordinate with offices worldwide, the corporate office, community organizations, and external clients.
  4. Manage agendas and organize department and company-wide meetings and events.
  5. Provide excellent customer service to internal and external stakeholders.
  6. Plan off-site events, including site selection and logistics for international and local meetings.
  7. Provide backup receptionist coverage as needed.
  8. Research, analyze, and complete assignments and special projects, including meeting materials.
  9. Support VIP visits with logistical arrangements.
  10. Assist with meeting logistics, including catering and vendor coordination.
  11. Uphold company values of Integrity, Innovation, Accountability, and Teamwork.
  12. Adhere to the company's Code of Ethics and Conduct, ensuring team compliance and training.
  13. Report any quality issues or defects for corrective action.
  14. Perform additional duties as required to meet business needs.
Qualifications
  • Bachelor’s degree required; additional coursework preferred.
  • Minimum of 5 years of administrative experience, including at least 3 years supporting executive-level staff.
  • Experience working with senior executives.
  • Proficiency in MS Office applications and office procedures.
  • Strong work ethic, flexibility, and dedication.
  • Excellent interpersonal, organizational, and communication skills.
  • Critical thinking skills and ability to work independently.
  • Ability to handle confidential information appropriately.
  • Capacity to work across multiple time zones.
