Responsibilities

  • Executive Support — Manage the Executive Director’s calendar, meetings (in-person/virtual), travel arrangements and reimbursements.
  • Financial Coordination — Process payment requests, code invoices and manage purchasing card in line with rules.
  • Board Coordination — Prepare board materials, notice meetings, coordinate in-person/virtual meetings and take minutes.
  • Written Communication — Draft, edit and proofread correspondence and prepare polished presentations using PowerPoint or Gemini.
  • Travel Management — Coordinate executive travel and reimbursements for Authority staff.
  • External Relations — Interact professionally with officials, board members and the public with discretion.
  • Records and Open Meetings — Become a certified records officer and ensure OPMA compliance.
  • State Vehicle Management — Coordinate with fleet manager for Authority vehicles.

Job Description

The Colorado River Authority of Utah is seeking an Executive Assistant to support its Executive Director. The Executive Assistant is a trusted and highly capable professional who provides sophisticated executive, administrative and organizational support to the Executive Director. This position serves as a key point of coordination between the Executive Director, River Commissioner, governing board, senior staff, external partners and members of the public.


The successful candidate will be exceptionally organized, polished, discreet and proactive. The position requires excellent judgment, strong written and verbal communication skills, discretion, attention to detail and the ability to operate comfortably in a fast-paced, highly visible environment. Experience in a private sector, corporate, professional services or similar organizational environment is highly desired. The ideal candidate brings a service-oriented, solutions-focused approach and understands the importance of professionalism, responsiveness, confidentiality and follow-through.


Day-to-day Responsibilities Of This Position


  • Executive Support — Provide administrative support, managing competing priorities and ensuring that important deadlines, commitments and follow-up items are effectively tracked. Manage the Executive Director’s calendar, including scheduling in-house and external meetings (both in-person and virtual) , making travel arrangements, and processing financial reimbursements. Prepare the Executive Director for meetings and work-related travel by assembling briefing materials, background information, agendas, presentations and relevant correspondence.

  • Financial Coordination — Receive and process requests for payment to partner entities, including gathering approvals, coding, and submitting invoices to the finance team for processing. Also responsible for managing a purchasing card and following all purchasing and finance rules to assist the director with financial needs.

  • Board Coordination — Assist the Executive Director in coordinating and communicating with a 10-member board. In accordance with Utah’s Open and Public Meetings Act (OPMA), create meeting agendas, assist in the preparation of board materials, notice meetings, organize and facilitate in-person and virtual meetings, take meeting minutes, noting follow-up and to-do items, and covering other Board-related duties as assigned.

  • Written Communication and Presentations –At the direction of the Executive Director, draft, edit and proofread correspondence, memoranda, briefing documents and other communications on behalf of the Executive Director. Prepare polished presentations and briefing materials using PowerPoint. Gemini or similar presentation software.

  • Travel Management — Lead travel coordination by training and supporting Authority employees, handling executive travel authorizations, reimbursements, and group gatherings.

  • External Relations — Interact professionally with elected officials, board members, cross-agency leadership, interstate colleagues and members of the public. Handle sensitive information with absolute discretion.

  • General Office Support — Coordinate with the other office admins to support office-wide events, inventory management, state surplus, and any projects that require additional support.

  • Records and Open Meetings Management — Become a certified records officer with the State of Utah, manage Authority records and become familiar with and manage OPMA to ensure Authority Board compliance.

  • State Vehicle Management - Manage Authority vehicles and coordinate with the Department of Natural Resources fleet manager.


Qualifications

Minimum or \"day-one\" qualifications:


  • Experience supporting a CEO, president, executive director, managing partner, elected official or other senior executive is strongly preferred.

  • Proficiency in Google products, particularly Gmail, Google Calendar, Google Meet, as well as Zoom and Microsoft Office Suite (Outlook, Teams).

  • Experience with Google Calendar, Google Meet, and Zoom


Preferred Or Trainable/on-the-job Qualifications


  • At least five years of progressively responsible executive assistant, executive office, chief-of-staff support, office management or other comparable professional experience.

  • Exceptional verbal and written communication skills

  • Excellent attention to detailExcellent time management, organizational, prioritization, and multitasking skills

  • Professional, friendly and collaborative personality

  • Ability to quickly learn internal systems, including Salesforce, Concur, and Vantage
