About the Job

We’re looking for an experienced Executive Assistant to support a senior leader and manage the day-to-day operations of our NYC satellite office. This is a hands-on, fast-paced role – ideal for someone who’s highly organized, detail-oriented, and comfortable working independently. As both a right hand to leadership and the go-to resource for office operations, you’ll play a vital part in keeping our team running smoothly.

Responsibilities

Executive Support

  • Manage complex, shifting calendars across multiple time zones for senior leadership.
  • Coordinate domestic and international travel arrangements, including detailed itineraries, hotel bookings, and car service.
  • Prepare and process expense reports, track approvals, and manage vendor invoices.
  • Support meeting preparation and execution: draft agendas, coordinate catering, assemble presentation decks, and manage follow-ups.
  • Assist with confidential communications, materials, and priorities, maintaining the highest level of discretion.

Office Operations

  • Serve as the primary point of contact for visitors and vendors at the NYC office.
  • Oversee office supplies, food orders, space coordination, and general office upkeep.
  • Partner with HR, Facilities, and IT to support onboarding and seating logistics.
  • Help coordinate internal events, team gifts, and ad hoc team needs.
  • Provide occasional support outside of core business hours as required.

Requirements

  • 5+ years of experience supporting executives in a fast-paced environment.
  • Exceptional attention to detail and ability to juggle multiple tasks and priorities.
  • Strong written and verbal communication skills.
  • Comfortable working independently and exercising sound judgment.
  • Proven discretion in handling sensitive and confidential information.
  • Proficient in Microsoft Office, especially Outlook, PowerPoint, and Excel.
