Qualifications

  • Bachelor’s degree or 5+ years in an administrative role supporting executives
  • Experience supporting senior leaders in a fast-paced corporate environment, preferably financial services
  • Excellent organizational, time management, and prioritization skills
  • Strong written and verbal communication, professional correspondence, presentations, and reports
  • Advanced proficiency in Outlook, Excel, PowerPoint, Word, and Teams
  • Experience with expense systems (Concur or AMEX) and travel arrangements

Responsibilities

  • Provide proactive administrative support to Sector leadership and teams
  • Be a trusted contact for internal and external stakeholders
  • Manage complex calendars and changing priorities
  • Coordinate meetings, videoconferences, travel, and related logistics
  • Support planning and execution of team events, leadership meetings, and town halls
  • Prepare and distribute correspondence, reports, and materials
  • Maintain electronic filing and ensure compliant recordkeeping
  • Arrange domestic and international travel per policy and budget
  • Process invoices, purchase requests, and approvals
  • Support onboarding and offboarding, workspace setup, and system access
  • Track action items and follow-ups from leadership meetings
  • Coordinate agendas and minutes for regional decision forums
  • Collaborate with HR, Finance, Compliance, and other functions
  • Handle confidential information with discretion
  • Be onsite 3-4 days a week when required

About the position:

The Executive Assistant is a trusted partner to the senior leadership team, providing proactive administrative and organizational support in a fast-paced, dynamic environment. This role is responsible for managing complex calendars, coordinating travel and meetings, handling expenses, and ensuring the smooth execution of day-to-day business activities. The successful candidate will bring exceptional attention to detail, strong judgment, and a service-oriented mindset, helping senior leaders maximize their effectiveness while fostering seamless coordination across stakeholders and teams

About the department:

Sectors is responsible for ING’s client organization and resides within the Wholesale Bank. Sector teams own end‑to‑end responsibility for client strategy, coverage, credit origination, and capital allocation within their industries, combining deep sector expertise with differentiating idea generation and product execution. The Sectors-based model is designed to drive risk‑adjusted returns, disciplined balance‑sheet usage and consistent global client treatment, while working closely with product partners from Lending, Trade Services, Financial Markets and Capital Markets & Advisory. Sectors business lines consist of: Financial Institutions, Sustainable Solutions Group & Transition Accelerator, Energy (Hydrocarbons and New Energy; Renewables and Power), Real Estate Finance and Infrastructure, Commodities, Food & Agriculture, Technology, Media, Telecom & Healthcare, and Corporate Sector Coverage.

Responsibilities:
  • Provide proactive administrative support to Sector leadership and their teams, enabling the effective and efficient execution of business priorities.
  • Serve as a trusted point of contact for internal and external stakeholders, ensuring timely communication, follow-up, and resolution of requests.
  • Manage complex and frequently changing calendars, coordinating priorities and ensuring optimal use of leaders’ time.
  • Coordinate internal and external meetings, conference calls, and videoconferences, including scheduling, agenda preparation, meeting logistics, catering, travel arrangements, and follow-up actions.
  • Support the planning and execution of team events, offsites, leadership meetings, town halls, and other departmental activities.
  • Prepare, format, and distribute correspondence, presentations, reports, meeting materials, and other business documentation as required.
  • Organize and maintain electronic filing systems, records, and departmental documentation to ensure efficient access to information and compliance with recordkeeping requirements.
  • Arrange domestic and international travel in accordance with company policies and budget guidelines, including detailed travel itineraries, transportation, accommodations, and meeting schedules.
  • Review, submit, and track travel and entertainment expense reports in a timely and accurate manner.
  • Process invoices, purchase requests, and other administrative transactions, ensuring compliance with internal controls and approval processes.
  • Monitor departmental calendars, staffing coverage, key deadlines, and employee lifecycle activities, helping to ensure smooth day-to-day operations.
  • Support onboarding and offboarding activities, including coordinating workspace setup, system access requests, orientation schedules, and logistics for new hires and Short-Term Assignees (STAs).
  • Maintain office and department supplies, equipment, and related vendor relationships to support business operations.
  • Assist leadership with Workday-related activities, employee reviews, talent processes, training compliance, and other people-related administrative tasks.
  • Track action items, decisions, and follow-ups from leadership meetings and key business forums, helping to drive accountability and timely execution.
  • Coordinate agendas, materials, meeting logistics, and minutes for the Americas Regional Greenlight Committee - a fast-paced, high-volume, and time-sensitive commercial decision-making forum.
  • Partner closely with colleagues across the business, Human Resources, Finance, Compliance, and other functions to facilitate effective coordination and information flow.
  • Handle highly confidential and sensitive information with professionalism, discretion, and sound judgment.
Qualifications and Competencies
  • Bachelor’s degree or 5+ years of experience in an administrative role supporting executives.
  • Prior experience supporting senior executives and/or leadership teams in a fast-paced corporate environment ideally in Financial Services or Banking
  • Exceptional organizational, time management, and prioritization skills, with the ability to manage multiple competing demands and deadlines.
  • Strong written and verbal communication skills, including the ability to prepare professional correspondence, presentations, and reports.
  • Advanced proficiency in Microsoft Office Suite, particularly Outlook, Excel, PowerPoint, Word, and Teams.
  • Experience with Concur or AMEX Expense
  • Demonstrated experience supporting multiple executives or teams, managing complex calendars, coordinating meetings, and arranging domestic and international travel.
  • Experience processing expense reports, invoices, and other administrative and operational activities.
  • Strong attention to detail, sound judgment, and the ability to handle highly confidential and sensitive information with discretion.
  • Proactive, resourceful, and highly dependable, with a strong sense of ownership and follow-through.
  • Collaborative team player with excellent interpersonal skills and the ability to build effective relationships with stakeholders at all levels of the organization.
  • Adaptable and flexible, with the ability to thrive in a high-volume, rapidly changing environment while maintaining a positive and professional approach.
  • Willingness to be onsite 3-4 days a week.

Salary Range $93,000-$118,000
