Position Overview:
We are seeking a highly professional and organized Executive Assistant to support a senior executive and their team in a dynamic, fast-paced environment. This role requires strong judgment, discretion, and the ability to manage competing priorities with a proactive and solution-oriented mindset.
Key Responsibilities:
• Provide high-level administrative support including managing calendars, scheduling meetings, and arranging complex travel.
• Prepare correspondence, reports, and presentation materials as needed.
• Screen and handle incoming communications (calls, emails, visitors) with professionalism and confidentiality.
• Coordinate internal and external meetings, including room bookings and logistics.
• Manage and process expenses and reimbursement reports.
• Provide periodic research and support project coordination activities.
• Maintain awareness of team needs and support general office operations.
Required Qualifications:
• Minimum 3 years of Executive or Administrative Assistant experience (experience in Investment Banking strongly preferred).
• High School Diploma or GED required; Bachelor’s degree preferred.
• Proven ability to multitask and stay organized in a fast-paced, high-pressure environment.
• Experience with heavy calendar and travel management.
• High degree of discretion in handling confidential information.
• Proficient in Microsoft Word, Excel, and PowerPoint.
• Strong interpersonal and communication skills, including excellent phone etiquette.
• Adaptable, resourceful team player with strong problem-solving skills.
• Familiarity with general office procedures (e.g., scheduling, filing, expenses).
