Job summary

The New York City Office of the Actuary seeks an experienced secretary to perform and assist in clerical work across the agency. Under direction, with latitude for initiative, the selected candidate will support the Chief Actuary and leadership team, type complex reports with tables, and manage document formatting.

Responsibilities include scheduling meetings, answering phones, front-desk duties, interfacing with high-level City staff, and data entry in citywide systems.

Qualifications

  • A baccalaureate degree from an accredited college or university and one year of satisfactory secretarial or administrative experience; or
  • An associate degree from an accredited college or university and two years of satisfactory full‑time secretarial or administrative experience; or
  • A four‑year high school diploma or its educational equivalent and four years of satisfactory full‑time secretarial or administrative experience; or
  • Education and/or experience equivalent to 1, 2 or 3 above. However, all candidates must have a four‑year high school diploma or its educational equivalent and one year of secretarial or administrative experience.

Job description

The New York City Office of the Actuary (NYCOA) provides actuarial services to the City’s five actuarially funded Retirement Systems and other funds, including Variable Supplements Funds, Tax-Deferred Annuity Programs, life insurance funds, closed pension funds and the New York City Health Benefits Program. In addition, the NYCOA provides actuarial information – pension and Other Post-Employment Benefits (OPEB) to employers, City and State legislative bodies, labor organizations, oversight agencies, and active and retired members.

The NYCOA seeks an experienced secretary to perform and assist in clerical work throughout the agency. Under direction, with varying degrees of latitude for the exercise of independent initiative, the selected candidate will:

  • Assist other clerical staff in performing multifaceted secretarial, document creation and processing
  • Clerical duties for the Chief Actuary and other leadership team staff
  • Typing highly complex statistical reports and correspondences involving tables, charts, and document formatting
  • Scheduling meetings
  • Answering telephones and reception duties
  • Interfacing with high-level personnel both internal and external to City government
  • Performing data entry in citywide systems

SECRETARY TO THE CHIEF ACTUARY - 95038

Minimum Qualifications
  1. A baccalaureate degree from an accredited college or university and one year of satisfactory secretarial or administrative experience; or
  2. An associate degree from an accredited college or university and two years of satisfactory full‑time secretarial or administrative experience; or
  3. A four‑year high school diploma or its educational equivalent and four years of satisfactory full‑time secretarial or administrative experience; or
  4. Education and/or experience equivalent to "1", "2" or "3" above. However, all candidates must have a four‑year high school diploma or its educational equivalent and one year of secretarial or administrative experience.
Preferred Skills
  • Advanced typing skills
  • Intermediate proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Teams
  • Experience using Adobe applications
  • Detail‑oriented
  • Excellent interpersonal skills
  • Experience in using FMS/2 and/or FMS/3

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
