WVUH West Virginia University Hospitals is seeking an Executive Assistant to provide high-level administrative support to the Chief Executive and department Chair. The role involves screening requests, managing calendars, arranging travel, preparing reports, and maintaining confidential files.

Qualifications

  • High School Diploma or equivalent and 4 years of high-level Administrative Experience, OR Associate’s Degree and 2 years of executive office experience, OR Bachelor’s Degree.
  • Bachelor's Degree in Business Administration or Health Administration preferred.
  • Experience in health care environment preferred.

Responsibilities

  • Works independently to initiate and complete executive support functions for the Executive, screening requests by phone and in person.
  • Maintains a tracking system on executive matters and monitors status.
  • Coordinates scheduling for the Executive, including standing meetings and response to meeting requests.
  • Determines priorities and ensures deadlines are met; prepares agendas and minutes as requested.
  • Creates reports from established data and assembles information from departments.
  • Maintains office files and archives; retrieves information as needed.
  • Assists Executive with special projects, researches background information, and monitors progress.
  • Manages Executive calendar and travel/lodging arrangements; tracks expenses for reimbursement.
  • Drafts personal and business correspondence; proofs all typed material.
  • Prints meeting materials and prepares folders for internal and external meetings.
  • Compiles statistical, financial or unit activity data for the department.
  • Receives and routes mail, handling confidential materials appropriately.
  • Participates in cross-training with other executive staff; coordinates educational opportunities.

Assists in determining priorities and ensures all deadlines are met.5. Determines the priorities for meetings; schedules meetings, collects agenda items, prepares agenda and composes minutes as requested.6. Collects information and creates reports from established data and/or departments.7. Establish and maintains office files and records and assembles information from these and other sources. Archives files independently as appropriate.8. Assists Executive with special projects and other duties as assigned. Compiles necessary background information for the Executive review. Coordinates a plan for completing the project. Maintains responsibility for monitoring the project’s progress.9. Maintains the Executive’s calendar and makes all travel and lodging arrangements; tracks reimbursement for expenses from appropriate unit or agency.10. Responsible for all correspondence for the Executive signature.11. Works independently drafting personal and business correspondence, letter and memos as requested. Proofreads all typed correspondence prior to submittal or distribution.12 Prints meeting materials and prepares meeting folders for internal and external meetings of the Executive and leadership.13. Researches and compiles information as requested from Executive.14. Compiles accurate statistical, financial or unit activity data for department as assigned.15. Receives and reviews all mail. This requires use of independent judgment to route information to others, suggesting responses to various correspondences by pointing out significant information or recommending appropriate action. This task includes the proper handling of confidential materials, reports, financial information, and personnel matters.16. Participates in cross-training with other executive support staff.17.
