Job summary

Walden University seeks an experienced Executive Assistant to support Vice Presidents and other executive leaders. You will handle a broad range of administrative, operational, and analytical tasks with professionalism and discretion.

The role requires coordinating calendars, travel, expense reports, and complex communications while maintaining confidentiality and building relationships with internal and external stakeholders. Strong MS Office and AI tool usage are essential.

Qualifications

  • Bachelor’s degree required or combination of education and experience.
  • 8+ years of executive-level administrative support experience.
  • Proficient in MS Office and related tools.
  • Ability to leverage AI tools to streamline routine tasks.
  • Strong organizational, verbal, and written communication skills.
  • Capable of multi-priority work and handling confidential information.

Responsibilities

  • Anticipate needs and set priorities for leaders' calendars and travel.
  • Manage calendars, travel arrangements, expenses, and meetings.
  • Liaise between leaders, employees, clients, and external contacts.
  • Handle confidential, time-sensitive material and complex situations.
  • Prepare high-level documentation for Board/Presidential Cabinet.
  • Maintain accurate records and electronic filing systems.
  • Assist in budgeting and expense tracking.
  • Organize large cross-department meetings.
  • Provide admin support to Executive Leadership Team.
  • Support special projects and events as needed.
  • Provide documents to the CEO of Covista and Walden leadership as requested.
  • Carry out additional duties as assigned.

Job Description

The Executive Assistant provides comprehensive support to Vice Presidents and other executive leaders at Walden University. This role is responsible for a broad range of administrative, operational, and analytical functions that require a high level of professionalism, confidentiality, and sound judgment. The position regularly handles sensitive information and serves as a key point of contact for both internal and external stakeholders.

  • Anticipate the needs and use discretion when setting priorities to keep the leader updated and aware of meetings, agendas, travel, upcoming events, incoming emails and letters, situations relating to the administrative office, employees, students, and external partners.
  • Manages the leader’s calendar and contact database to schedule meetings, make travel arrangements (airline, car service, rental car, hotel, etc.), order office supplies/equipment, prepare expense statements, reserve and prepare facilities and catering.
  • Act as a liaison between the leader and employees, clients, and all external contacts, by utilizing good judgment in determining when to act independently and when to refer matters for further attention.
  • Handle a wide variety of complex situations and time conflicts involving the business/administrative functions of the office and is responsible for confidential and time sensitive material on a regular basis.
  • Prepare high level documentation and advanced correspondence for presentation to the Members of the Board and/or Presidential Cabinet.
  • Maintains accurate records and files; develops and maintains electronic filing systems and shared network systems; ensures filings are in proper format and filed in a timely manner; supplies information upon request.
  • Assist in preparing the budget and tracking expenses.
  • Organize large meetings which may include multiple departments of the organization.
  • Provide administrative support for other members of the Executive Leadership Team as assigned/directed by leader.
  • Offer support and assistance to other departments and employees as needed for special project/events.
  • Provide documents and information to the CEO of Covista, the CEO's office, and the President of Walden as requested.
  • Completes other duties as assigned.
Qualifications
  • Bachelor’s Degree required but may substitute a combination of education and experience.
  • Minimum of 8 years of experience providing executive-level administrative support.
  • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and related tools.
  • Demonstrated ability to leverage approved AI tools to streamline and automate routine work activities.
  • Strong organizational, verbal, and written communication skills.
  • Proven ability to manage multiple priorities, work independently, and collaborate effectively with colleagues across Walden and the broader Covista executive support team.
  • Ability to maintain composure when working under pressure.
  • Exceptional attention to detail with the ability to execute tasks accurately and efficiently.
  • Exercises sound judgment, maintains discretion, and appropriately handles sensitive and confidential information.
Additional Information

In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $20.51 and $37.18. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
