About The Role

Netcraft is looking for a highly organized, proactive Executive Assistant to support members of our global leadership team and help keep key executive and company-wide activities running smoothly.

This role is a little different from a traditional Executive Assistant position. While calendar, travel, and day-to-day executive support will be part of the role, a significant focus will be on coordinating and preparing for important leadership activities including executive meetings, customer and industry meetings, and key company events.

You’ll be supporting six US leadership team members – including the CEO, CFO and CRO – plus one based in Australia, and partnering closely with our UK Executive Assistant who supports the UK-based leadership team members.

This is a highly visible role requiring excellent judgment, attention to detail, discretion, and the ability to anticipate what needs to happen before being asked.

What You’ll Do
  • Coordinate leadership team meetings, ensuring agendas, materials, logistics, and follow-up actions are organized and communicated.
  • Manage complex calendars and scheduling, balancing priorities across multiple time zones and business needs
  • Anticipate scheduling conflicts, logistical issues, and upcoming needs and resolve them proactively.
  • Coordinate domestic and international executive travel, including flights, hotels, ground transportation, itineraries, and schedule changes.
  • Assist with financial processes relating to the leadership team, including expenses and receipts.
  • Prepare executives for key meetings by ensuring they have the right materials, context, and logistics in advance.
  • Create, organize, and polish executive-level presentations, documents, agendas, and other materials.
  • Attend leadership meetings and take notes when needed
  • Track key deadlines, actions, and deliverables coming out of leadership meetings and proactively follow up with owners.
  • Partner closely with the UK Executive Admin to provide consistent support across Netcraft’s global leadership team, including covering during each other's time off
  • Support the preparation and organization of Town Hall meetings, including coordinating content, building and consolidating presentation decks, managing timelines, and working with presenters.
  • Handle sensitive and confidential information with a high degree of discretion.
  • Take on special projects and provide ad hoc support as and where needed.
What We’re Looking For
  • Previous experience supporting senior executives, ideally within a fast-paced, growing, or global organization. Previous experience in a tech/SaaS environment could be helpful but isn’t essential.
  • Exceptional organizational skills, and the ability to manage multiple and/or conflicting priorities smoothly.
  • Strong judgment and the confidence to independently prioritize, make decisions, and keep things moving.
  • Highly proactive — you naturally think several steps ahead and identify what needs to happen before being asked.
  • Excellent written and verbal communication skills
  • The ability to work effectively and build strong relationships with internal and external leaders, stakeholders, and key contacts
  • Excellent numerical ability and ability to work confidently with spreadsheets, expenses, card purchases, and other finances.
  • Strong experience preparing executive presentations and materials, particularly PowerPoint/Google Slides.
  • Experience coordinating complex domestic and international travel.
  • Comfortable managing schedules and priorities across multiple global time zones.
  • Ability to work with sensitive information while maintaining complete confidentiality and discretion.
  • Flexible and adaptable, with a willingness to jump in wherever needed, and a calm, positive and solution-focused mindset.
  • Comfortable operating in an environment where priorities can change quickly.

You’ll make the leadership team more effective by ensuring they are prepared, organized, and able to focus their time on the highest-impact work. Leadership meetings, travel, and other major executive activities will be well planned and run smoothly, with details anticipated rather than reacted to.

You’ll also build strong relationships across the business and become someone leaders can rely on, bringing structure to complexity and keeping important work moving.
