Job summary

The Tim Tebow Foundation seeks an accomplished Executive Assistant to the President in Jacksonville, FL. This role protects the President's time, manages calendars, travel, and materials, and serves as a trusted operational partner to translate vision into actionable plans.

Responsibilities

RESPONSIBILITIES
Executive Effectiveness
  • Manage the President's calendar strategically, protecting time for leadership, decision-making, relationship building, and personal sustainability.
  • Anticipate upcoming priorities and proactively remove obstacles before they become distractions.
  • Prepare agendas, meeting materials, briefing documents, presentations, and decision support resources that enable effective leadership.
  • Serve as the President's trusted operational partner by tracking commitments, action items, and follow-up to ensure priorities continue moving forward.
  • Support travel planning, scheduling, and logistics with excellence, discretion, and attention to detail.
Strategic Execution
  • Translate the President's ideas, vision, and commitments into actionable plans, coordinating next steps and ensuring initiatives move from concept to completion.
  • Monitor progress on strategic initiatives by tracking milestones, identifying risks, and maintaining accountability for outcomes.
  • Coordinate cross-functional projects on behalf of the President, ensuring leaders remain aligned and informed.
  • Keep the President aware of emerging priorities, potential obstacles, and opportunities requiring executive attention.
  • Serve as the President's "second brain" by maintaining organizational awareness, remembering key commitments, and helping close the loop on important initiatives.
Relationship Stewardship
  • Coordinate communication and follow-up with key donors, ministry partners, board members, business leaders, and strategic stakeholders.
  • Help steward important relationships by ensuring timely communication, thoughtful preparation, and meaningful follow-through.
  • Exercise exceptional professionalism, discretion, confidentiality, and sound judgment when representing the President internally and externally.
  • Support the President in cultivating relationships that advance the mission and strengthen the Foundation's influence.
Organizational Alignment
  • Partner closely with senior leaders to ensure priorities remain aligned, communication is clear, and organizational commitments stay on track.
  • Foster collaboration across departments by connecting people, information, and initiatives that strengthen execution.
  • Communicate updates, meeting outcomes, and action items that promote organizational clarity and accountability.
  • Recognize opportunities to improve coordination, eliminate unnecessary complexity, and increase organizational effectiveness.
Operational Excellence
  • Develop and maintain systems that improve executive workflows, organization, documentation, and follow-through.
  • Champion the thoughtful integration of AI and emerging technologies to improve executive effectiveness, project execution, and operational efficiency while maintaining excellent judgment, authentic relationships, and personal accountability.
  • Continuously identify opportunities to improve processes, increase efficiency, and enhance the overall effectiveness of the President's office.

QUALIFICATIONS
  • 5+ years of experience supporting senior executives or organizational leaders in a fast-paced, high-responsibility environment.
  • Demonstrated success managing complex priorities, coordinating projects, and driving execution with exceptional attention to detail.
  • Outstanding organizational, communication, and project management skills.
  • Exceptional written communication with the ability to prepare professional correspondence, presentations, reports, and executive materials.
  • Strong executive presence with the ability to interact confidently and professionally with senior leaders, major donors, ministry partners, business executives, public officials, and other influential stakeholders.
  • Highly proactive with the ability to anticipate needs, solve problems independently, and exercise sound judgment in dynamic situations.
  • Demonstrated ability to influence across teams and build alignment without relying on positional authority.
  • High emotional intelligence, relational maturity, and unwavering discretion when handling confidential information.
  • Proficiency with Microsoft Office Suite, project management software, and modern productivity technologies.
