About Pophouse
Pophouse is a woman-owned and led, award-winning commercial interior design firm headquartered in Detroit. We design offices, hospitality spaces, restaurants, retail, multi-family residences, and commercial common areas for some of the country’s most ambitious developers and brands.
Great design is about creating a positive impact on people in their environment. We hold ourselves to that same standard in how we treat every client, partner, and guest who walks through our door.
The role
The Executive Assistant to the President is the first face of Pophouse and a true extension of the President. You will keep the President's days running smoothly, make every visitor feel genuinely welcomed, and turn our office into a place clients love to come back to.
This role blends three areas: Executive support, Office Management, and Hospitality. It is ideal for someone who loves taking care of people, thinks a step ahead, and is at ease with executive-level clients.
- Reports to: President
- Location: On-site at our Detroit headquarters (David Stott Building, Capitol Park)
- Type: Full-time, hybrid work schedule
Key Responsibilities
Executive Support
- Own the President's calendar: Schedule, prioritize, and protect time so the most important work gets done
- Book and manage travel, including flights, hotels, ground transportation, and detailed itineraries
- Coordinate client meetings from invitation to follow-up, including agendas, materials, rooms, and catering
- Greet clients and guests warmly, and represent Pophouse with polish and confidence as their first point of contact
- Prepare the President for business development meetings: Research prospects and attendees, assemble briefing notes, and organize presentation materials
- Plan and run logistics for quarterly and annual leadership team offsites, including venues, agendas, materials, travel, meals, and follow-up action items
- Handle correspondence, track follow-ups, and keep commitments from slipping through the cracks
- Look for ways to make the President and leadership team more efficient and productive, and put better systems in place
- Handle confidential information with complete discretion
Office Management
- Keep the office stocked with supplies, kitchen essentials, and hospitality items; manage vendors and orders
- Receive, sort, and distribute mail and deliveries
- Maintain a tidy, welcoming, client-ready office every day
- Be the go-to person for office issues such as building, maintenance, equipment, cleaning, or vendor problems, and see them through to resolution
- Coordinate with building management and service providers as needed
Hospitality
- Plan and execute client lunches, happy hours, and team events from start to finish
- Select and arrange fresh flowers and finishing touches that make our space feel inviting
- Prepare the office before every client visit so guests feel expected and cared for
- Remember the details: Client preferences, names, dietary needs, and special occasions
- Celebrate our team through events, milestones, and small gestures that build culture
Who you are
You have a genuine passion for hospitality and for taking care of people. You notice the details others miss, and you take pride in making everyone around you look good.
