Job summary

Exclusive Collective is seeking an experienced Executive Assistant to support the Chief Marketing Officer and a senior executive. The role requires discretion, proactive calendar management, travel coordination, and strong collaboration across teams to keep priorities moving forward.

Responsibilities

  • Manage complex and dynamic calendars for two senior executives, balancing internal priorities, external relationships, travel, and personal commitments.
  • Gatekeeper of executive time; understand priorities and make informed scheduling decisions.
  • Anticipate scheduling conflicts and resolve them proactively.
  • Coordinate meetings across senior leadership, internal teams, business partners, and external stakeholders.
  • Ensure executives are prepared for meetings with the right context, materials, and information.
  • Coordinate domestic and international travel, including flights, accommodations, and itineraries.
  • Create clear itineraries and anticipate logistical needs before they arise.
  • Respond calmly when plans change.
  • Coordinate leadership meetings, off-sites, presentations, events, and other key moments.
  • Prepare agendas, briefing materials, presentations, and supporting documents.
  • Capture key decisions, action items, and follow-ups; ensure commitments move forward.
  • Maintain visibility into deadlines and remind stakeholders of upcoming deliverables.
  • Draft and coordinate executive correspondence with appropriate tone and audience.
  • Build relationships across the organization to solve problems and keep work moving.
  • Handle sensitive information with exceptional discretion.
  • Support special projects, events and cross-functional priorities as needed.
  • Help create systems and processes that improve efficiency across executives and teams.

Salary Range: $80,000.00 To $95,000.00 Annually

The Opportunity

We are seeking an exceptional Executive Assistant to provide dedicated support to the Chief Marketing Officer of Exclusive Collective, who oversees marketing across a portfolio that includes Exclusive Resorts, Inspirato, and onefinestay, as well as one additional senior executive.

This is a high-impact role for someone who thrives at the center of a fast-moving, highly collaborative organization. More than managing calendars and logistics, this person will serve as a trusted partner to both executives—anticipating needs, protecting their time, connecting dots across teams, and ensuring priorities continue to move forward.

The ideal candidate is exceptionally organized, polished, resourceful, and discreet, with the judgment to know what requires attention, what can be handled independently, and what can wait. They are equally comfortable managing complex executive schedules, preparing for important leadership meetings, navigating last-minute travel changes, or bringing order to a rapidly evolving set of priorities.

The role may be based in either Denver or the New York City area. Denver-based candidates will work a hybrid schedule from our Denver office, primarily on East Coast hours. New York-area candidates will initially work remotely, with the expectation that the role may transition to a hybrid model as Exclusive Collective expands its presence in New York.

What You'll Do
Executive & Calendar Management
  • Strategically manage complex and dynamic calendars for two senior executives, balancing internal priorities, external relationships, travel, and personal commitments.
  • Serve as a thoughtful gatekeeper of executive time, understanding priorities and making informed decisions when schedules compete.
  • Anticipate scheduling conflicts and resolve them proactively.
  • Coordinate meetings across senior leadership, internal teams, business partners, and external stakeholders.
  • Ensure executives are prepared for meetings and the day ahead with the right context, materials, and information.
Travel & Logistics
  • Coordinate domestic and international travel, including flights, accommodations, ground transportation, itineraries, reservations, and schedule changes.
  • Create clear, comprehensive itineraries and anticipate logistical needs before they arise.
  • Respond calmly and resourcefully when plans change.
Meetings & Follow-Through
  • Coordinate leadership meetings, off-sites, presentations, events, and other key executive moments.
  • Prepare agendas, briefing materials, presentations, and supporting documents as needed.
  • Capture key decisions, action items, and follow-ups and help ensure commitments move forward.
  • Maintain visibility into important deadlines and proactively remind executives and stakeholders of upcoming deliverables.
Communication & Relationship Management
  • Serve as a trusted point of contact between the executives and colleagues across Exclusive Resorts and The Exclusive Collective, as well as external partners and stakeholders.
  • Draft and coordinate executive correspondence with a strong understanding of voice, context, and audience.
  • Build strong relationships across the organization and use those relationships to solve problems and keep work moving.
  • Handle sensitive and confidential information with exceptional discretion.
Special Projects & Executive Support
  • Support special projects, events, leadership initiatives, and cross-functional priorities as needed.
  • Help create systems and processes that make the executives—and the broader teams around them—more efficient.
  • Manage expenses, invoices, administrative documentation, and other executive responsibilities.
  • Step into unexpected needs with a solutions-oriented mindset and a willingness to figure things out.

What You'll Bring
  • 5+ years of experience supporting senior executives, ideally within a fast-paced, high-touch organization.
  • Experience simultaneously supporting multiple senior executives strongly preferred.
  • Exceptional calendar management, prioritization, and organizational skills.
  • Outstanding written and verbal communication.
  • Strong judgment and the ability to handle highly confidential information with discretion.
  • A proactive mindset with a demonstrated ability to anticipate needs and solve problems independently.
  • Exceptional attention to detail without losing sight of the bigger picture.
  • Confidence interacting with executives, Members, partners, and other senior stakeholders.
  • Ability to remain composed, flexible, and solutions-oriented when priorities change quickly.
  • Strong proficiency with Microsoft Office, Outlook, Teams, and modern productivity and collaboration tools.
  • Willingness to occasionally work outside traditional business hours when executive schedules, travel, or events require it.
