Responsibilities

  • Manage complex executive calendars, appointments, travel, and priorities with high organization and judgment.
  • Coordinate meetings, leadership sessions, board meetings, and events; resolve scheduling conflicts.
  • Prepare meeting materials, presentations, briefing documents, and follow‑up communications.
  • Represent executive offices professionally in internal and external communications; draft and edit reports and correspondence.
  • Coordinate priorities across functions and ensure follow‑through; support special projects and initiatives.
  • Plan executive travel arrangements and support leadership meetings, events, and logistics.
  • Process executive expenses, purchasing card reconciliations, invoices, and related documentation; maintain confidential records.

Executive Assistant
Function

The Executive Assistant serves as a trusted partner to the President of Bealls, Inc. and two Senior Vice Presidents, providing high-level administrative, calendar, communication, travel, meeting, and project support. This position requires exceptional organization, judgment, discretion, and a proactive approach to managing priorities and supporting executive operations.

Interaction

Reports directly to the President of Bealls Inc. and serves as a key liaison for executive leadership.

Partners closely with executive leaders and cross‑functional teams including Merchandising, Store Operations, Finance, People Department, Legal & Compliance, Information Technology, Marketing, Logistics, and Corporate Services.

Regularly interacts with Board members, senior leaders, vendors, community partners, associates, and external stakeholders while maintaining professionalism, discretion, and confidentiality.

SUMMARY OF DUTIES AND RESPONSIBILITIES [ESSENTIAL FUNCTIONS]
Executive Support & Calendar Management
  • Manage complex executive calendars, appointments, travel schedules, and shifting business priorities with a high degree of organization and judgment.
  • Coordinate meetings, leadership sessions, board meetings, and special events while resolving scheduling conflicts proactively.
  • Prepare meeting materials, presentations, briefing documents, and follow‑up communications.
Strategic Coordination & Communication
  • Represent the President’s office professionally in communications with internal and external partners.
  • Draft and edit executive communications, reports, presentations, and correspondence.
  • Coordinate executive priorities across multiple functions and ensure effective follow‑through on commitments.
  • Support special projects and strategic initiatives by gathering information, tracking progress, and coordinating stakeholders.
Meetings, Events & Travel
  • Coordinate executive travel arrangements including itineraries, accommodations, transportation, and related details.
  • Plan and support leadership meetings, company events, off‑site meetings, and special functions.
  • Partner with Corporate Services and business teams to coordinate meeting logistics, catering, guest accommodations, conference facilities, and event execution.
Administrative & Business Operations
  • Process executive expenses, purchasing card reconciliations, invoices, and related documentation.
  • Coordinate reports, presentations, metrics, and business updates.
  • Maintain confidential records and support budget tracking, office administration, and departmental coordination.
  • Other duties as assigned.
Qualifications
Required
  • 5+ years supporting executives, senior leaders, or related business functions.
  • Exceptional organizational, prioritization, and time management skills.
  • Strong verbal and written communication skills.
  • Advanced proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint, Teams, and OneNote.
  • Demonstrates discretion and professionalism in managing confidential information.
  • Strong attention to detail with the ability to manage multiple priorities, deadlines, and shifting needs simultaneously.
  • Proven ability to build relationships and work effectively across all levels of the organization.
  • Proficiency using AI powered productivity tools and technology to enhance efficiency, communication, organization, and support business objectives.
Preferred
  • Bachelor's degree or equivalent combination of education and experience.
  • Experience supporting C-suite executives or senior leadership teams.
  • Experience coordinating executive meetings, events, and travel.
  • Experience exercising independent judgment in a highly confidential executive office environment.
  • Retail, consumer products, or multi‑location business experience.
