RWE Americas, LLC in Austin, TX is seeking an Executive Assistant to support up to four Senior Vice Presidents. This office-based role requires high-level administrative, operational, and strategic support, exceptional organization, discretion, and the ability to anticipate needs.

Responsibilities include managing complex calendars, coordinating meetings across time zones, preparing minutes, supporting budgets, and coordinating travel.

Qualifications

  • Minimum 7 years of high level executive support.
  • Excellent communication skills, both verbal and written.
  • Advanced knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook, and SharePoint.

The Executive Assistant (EA) provides high‑level administrative, operational, and strategic support for up to four Senior Vice Presidents within the organization. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs. The ideal candidate is a trusted partner and advisor who thrives in a fast‑paced environment, can manage multiple priorities simultaneously, able to work without guidance, and is comfortable representing the SVPs in day‑to‑day communications.

Role Responsibilities:

  • Act independently to organize and support meetings, conferences and events
  • Manage and optimize a complex executive calendar, including scheduling, rescheduling, and prioritizing meetings
  • Coordinate across multiple stakeholders and time zones to ensure deadlines and commitments are met
  • Attend meetings as required and prepare meeting minutes, notes and action logs
  • Provide high level administrative support including document assimilation, preparation, and quality assurance
  • Act as liaison between SVPs and internal and external contacts
  • Serve as a trusted partner and advisor to the SVPs, proactively managing priorities and anticipating needs
  • Act as point of contact for administration issues and escalating as appropriate
  • Liaise and provide support to other RWE Assistants, providing coverage for other Executive Assistants when needed
  • Plan and book all SVPs business travel including preparation of all necessary forms and documents
  • Prepare and submit travel and business expense reports accurately and on time
  • Check, and maintain SVPs email Inbox; forward, elevate and respond as necessary
  • Highly adaptable with the capacity to contribute beyond traditional administrative responsibilities, including coordinating special projects, process improvements, and strategic business initiatives
  • Support departmental budget administration and purchasing, including raising purchase orders, processing invoices, tracking spend, and coordinating with vendors
  • Handle sensitive and confidential information with discretion, maintaining appropriate confidentiality at all times
  • Coordinate team and office logistics, including onboarding support for new team members, workspace and equipment setup, and maintenance of filing and records systems

Job Requirements and Experience:

  • Minimum 7years of high level executive support
  • Bachelor's degree or an equivalent combination of education and relevant experience preferred
  • Proven demonstration of analytical and problem solving skills
  • Advanced knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Demonstrated ability to exercise discretion and handle confidential information
  • Excellent communication skills, both verbal and written
  • Ability to quickly learn new technology programs
  • Able to work independently and as part of a team
  • Strong organizational, time management, and multitasking skills
  • Critical thinking and problem‑solving skills
  • High level of attention to detail and follow‑through
  • This position is an office‑based role with some travel and visits to other RWE America offices and field locations
  • Must be able to sit, walk, or stand for long durations of time

Pay range: The annual base salary range for this position in Illinois is $86,000 - $112,000. The listed salary range represents our good faith estimate for this position and represents the range for new hire salaries across all U.S locations. Please note that the salary information is a general guideline only. RWE considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s education & work experience, training & certifications, and key skills as well as market and business considerations at the time of the offer.
