Job summary

Unified Women’s Healthcare is seeking an experienced Executive and Office Administrator to serve as a strategic partner to the C-suite, managing complex calendars, travel, expenses, and communications while overseeing Denver office operations.

The role drives Administrative Center of Excellence initiatives, supporting enterprise-wide administrative practices with significant autonomy and stakeholder influence. This position requires regular on-site presence in Lone Tree, CO in a hybrid model.

Qualifications

  • Bachelor's degree in Business Administration, Management, Communications, or a related field.
  • 10+ years of progressive executive administrative, business operations, administrative management, or related experience.
  • Experience supporting senior executives, preferably at the C-suite level.
  • Demonstrated project coordination and stakeholder management experience.
  • Experience developing, leading, or participating in an Administrative Center of Excellence (CoE).
  • Proven leadership and influencing skills in a complex enterprise environment.
  • Willingness to regularly commute to Lone Tree office; hybrid 2-days on-site per week.

Responsibilities

  • Lead cross-functional projects, track milestones, risks, and prepare leadership updates.
  • Plan leadership forums, meetings, and engagement activities.

The Executive and Office Administrator serves as a strategic partner to a C-suite executive, providing high-level executive support while leading administrative excellence initiatives across the organization. This role manages complex executive scheduling, travel, expenses, executive communications, project coordination, and business operations support.

The role also provides oversight of day-to-day operations for the Denver office and leads Administrative Center of Excellence (CoE) initiatives that drive consistency, effectiveness, and administrative excellence across the organization. Operating with significant autonomy and independent judgment, the position influences executive effectiveness, workplace operations, and enterprise-wide administrative practices while ensuring a seamless experience for leaders, employees, and key stakeholders.

Responsibilities
Executive Support & Business Partnership
  • Manage complex executive calendars, travel, expenses, and business logistics in alignment with strategic priorities, business objectives, and company policies.
  • Anticipate executive needs, resolve scheduling and operational issues, and serve as a primary point of contact for internal and external stakeholders.
  • Draft, edit, and coordinate executive communications, presentations, reports, leadership updates, meeting materials, briefing documents, and follow-up actions.
  • Ensure communications distributed on behalf of executive leadership are accurate, professional, timely, and aligned with organizational priorities.
  • Facilitate effective communication flow between executive leadership and key stakeholders across the organization.
Denver Office Operations & Administrative Leadership
  • Provide onsite oversight of Denver office operations, ensuring a professional, efficient, and productive workplace aligned with company standards.
  • Serve as the primary administrative and operational point of contact, partnering with Facilities, IT, Security, HR, vendors, and business leaders to address office needs.
  • Coordinate office activities, space utilization, workplace experience initiatives, onsite meetings, executive visits, leadership events, and employee engagement activities.
  • Monitor, resolve, and elevate operational issues to minimize business disruption and improve office efficiency and employee support services.
  • Support implementation of company policies, procedures, and workplace standards while reinforcing organizational culture and operational excellence.
Administrative Center of Excellence (CoE) Leadership
  • Support development and management of the Administrative Center of Excellence, including standards, tools, processes, and best practices that drive consistency across the organization.
  • Coordinate training, development, knowledge-sharing, and networking opportunities to strengthen administrative capability and effectiveness.
  • Serve as a resource and mentor to administrative professionals while partnering with business leaders and HR to support talent development and continuous improvement.
Project Coordination & Business Operations
  • Lead and coordinate cross-functional projects, special initiatives, and leadership action items.
  • Track project milestones, deliverables, dependencies, and risks to ensure successful execution.
  • Manage organizational meetings, leadership forums, and business reviews, including planning, logistics, documentation, and follow-up.
  • Analyze information and develop recommendations to improve executive operations and organizational effectiveness.

  • Experience developing, leading, or participating in an Administrative Center of Excellence (CoE), administrative network, or enterprise administrative community preferred.
  • Proven leadership and influencing skills in a complex enterprise environment.
  • Strong understanding of enterprise operations, executive business priorities, and organizational dynamics.
  • Ability to navigate complex organizational structures and influence outcomes across functions.
  • Evaluates issues from both operational and enterprise perspectives.
  • Anticipates challenges and develops proactive solutions that support business objectives.
  • Must be willing and able to regularly commute to the Lone Tree office to provide onsite leadership and operational oversight. Hybrid requirement of 2-days on-site a week with flexibility in days selected.
  • Ability to maintain a consistent onsite presence based on business needs and executive requirements.
  • Occasional travel may be required in support of executive, operational, and enterprise initiatives.
