Job description

Are you a highly organized and detail-oriented professional looking to make a meaningful impact in a dynamic corporate environment?

Washington Trust is seeking an experienced, highly organized, proactive and solutions-driven Executive Assistant to provide dedicated support to the Chief Executive Officer and Chief Operating Officer.

This position requires more than outstanding administrative skills. The successful candidate will be a trusted partner who anticipates needs, manages competing priorities with discretion and sound judgment, and serves as a key point of coordination across the organization. The Executive Assistant will be responsible for managing complex calendars, communications, travel, meetings, and executive priorities while also supporting strategic projects, leadership initiatives, and special assignments.

The ideal candidate is comfortable working behind the scenes to keep executives focused on the highest-value activities while simultaneously engaging with senior leaders, board members, clients, and community stakeholders.

If you are an accomplished executive administrator looking for an opportunity to contribute to a forward-thinking and mission-driven organization,

Key Responsibilities
  • Provide high-level administrative support to the Chief Executive Officer and Chief Operating Officer, ensuring the efficient management of daily activities, priorities, and commitments.
  • Manage complex and frequently changing calendars, exercising sound judgment in prioritizing requests and aligning executive time with organizational objectives and strategic priorities.
  • Conduct research, gather information, and prepare, edit, and proofread presentations, reports, correspondence, briefing materials, Board materials, and other business documents, ensuring accuracy, quality, and professionalism while supporting executive decision-making, strategic initiatives, and organizational objectives.
  • Coordinate and execute executive-level meetings, leadership forums, strategic planning sessions, Board-related activities, and special events, proactively managing schedules, agendas, materials, logistics, technology, and stakeholder communications. Extend support beyond the event itself by coordinating follow-up activities, monitoring key action items and commitments, and helping ensure that decisions are translated into meaningful outcomes.
  • Anticipate executive needs, identify potential scheduling or operational challenges, and proactively recommend solutions before issues arise.
  • Serve as a trusted representative of the Executive Office, fostering effective communication and strong working relationships among senior leaders, directors, employees, customers, shareholders, regulators, community stakeholders, and business partners. Manage and prioritize executive communications, including email and telephone inquiries, ensuring timely responses, seamless follow-up, and thoughtful coordination of matters requiring executive attention.
  • Coordinate travel arrangements, expense reporting, and related logistics while maintaining compliance with company policies and procedures.
  • Monitor ongoing initiatives, commitments, action items, and leadership priorities, helping to ensure deadlines are met, deliverables remain on track, and executives are informed of progress and potential issues.
  • Take ownership of assigned projects and responsibilities, independently driving work to completion while keeping executives informed of progress, issues, and opportunities.
  • Leverage sound business judgment, organizational knowledge, and critical thinking skills to anticipate needs, identify opportunities, and provide proactive recommendations that enhance executive effectiveness and organizational outcomes.
  • Continuously seek ways to improve processes, enhance efficiency, and add value through insights, organization, and proactive problem-solving.
  • Exercise discretion, diplomacy, and sound judgment in handling highly confidential, sensitive, and proprietary information.
  • Assist in managing Executive Office operations, records, document retention, and the organization of key business information to ensure accuracy, accessibility, and compliance with corporate requirements.
  • May provide support to other executives as needed, including to the Corporate Secretary with respect to Board and governance-related matters.
  • Provide backup support for other executive administrative functions as needed.
What Sets This Role Apart

  • Advanced proficiency in Microsoft Office 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint, as well as other collaboration and meeting platforms, including WebEx.
