About this position

Tacoma Housing Authority (THA) is seeking an Executive Administrator to provide high-level administrative, project coordination, governance, and executive support to the Executive Director, Deputy Executive Director, Board of Commissioners, and Executive and Legal Services teams. The Executive Administrator manages complex scheduling, meeting and event logistics, Board administration, records retention, legal and governance documentation, travel coordination, correspondence, and agency administrative services. This is a highly visible and trusted position that plays a critical role in ensuring the efficient operation of THA’s executive and governance functions.

The successful candidate is a proactive self-starter who thrives in a fast-paced environment, can manage multiple priorities simultaneously, and takes initiative to improve processes and systems. You’re highly skilled with technology, comfortable assisting executive leaders with technical needs, and able to identify opportunities to increase efficiency and effectiveness. You understand the importance of operating with the highest levels of confidentiality, professionalism, and discretion while supporting sensitive executive, legal, and Board matters. Experience working with government agencies, elected officials, community partners, or intergovernmental affairs is highly valued. Above all, you’re adaptable, resourceful, and ready to jump in wherever needed to support THA's mission and leadership.

What You’ll Do:

  • Provide comprehensive administrative support to the Executive Director and Executive Leadership Team, serving as a key partner in daily operations and strategic initiatives.
  • Manage complex calendars, schedules, and competing priorities while coordinating meetings, events, property tours, agency visits, and travel arrangements.
  • Serve as Clerk to the Board of Commissioners by coordinating Board and Committee meetings, preparing and distributing meeting materials, maintaining records, and supporting commissioner onboarding and compliance activities.
  • Support Legal Services operations by maintaining records, organizing legal files, tracking deadlines, coordinating with outside counsel, and preparing legal correspondence and documentation.
  • Draft, edit, proofread, and format correspondence, reports, presentations, meeting materials, and other executive communications.
  • Maintain and improve electronic and paper filing systems, records retention processes, and administrative workflows to ensure accuracy, compliance, and efficiency.
  • Provide technology coordination and basic technical support to executive leaders and assist with meeting technology, presentations, and virtual collaboration tools.
  • Coordinate logistics for agency events, meetings, trainings, and special projects, including facilities, catering, transportation, materials, and communications.
  • Monitor correspondence and inquiries, research solutions, and help ensure timely, professional communication with residents, community partners, elected officials, funders, vendors, and regulatory agencies.
  • Support a professional, welcoming, and well-organized workplace by assisting with administrative operations, service contracts, supplies, and shared workplace resources.

Who You Are:

  • Have a high school diploma/GED or equivalent; Associate’s degree preferred.
  • A highly organized administrative professional with at least 4 years’ experience supporting senior leaders, executives, boards, or other high-level operations.
  • Experience with housing authorities, public-sector organizations, governmental relations, Board governance, or intergovernmental affairs is a plus.
  • A self-starter who takes initiative, anticipates needs, solves problems independently, and follows through on complex assignments.
  • Exceptionally skilled at managing multiple priorities, adapting to changing demands, and remaining calm and effective in a fast-paced environment.
  • Comfortable learning and leveraging technology to improve processes, increase efficiency, and support executive operations. Highly proficient with Microsoft Office and other business systems.
  • Experienced in maintaining confidential and sensitive information with the highest level of professionalism, judgment, and discretion.
  • An effective communicator with strong writing, editing, and interpersonal skills and the ability to build positive working relationships across all levels of an organization.
  • Detail-oriented and committed to producing accurate, polished, and professional work products.
  • Skilled at organizing records, data, documentation, and processes while continually identifying opportunities for improvement.
