Executive Administrative Associate - Special Projects Manager (HEA)
GENERAL DUTIES
Supports a Campus or University Executive as a confidential assistant in a variety of activities and initiatives as a key team member.
- Organizes and manages projects involving different areas of the Campus or University community, with responsibility for project outcomes
- Represents the Executive's unit in Campus or University-wide activities, including committees, special initiatives, and implementation of new processes or technology
- Independently carries out a portfolio of responsibilities under the Executive's purview, such as approvals, student interactions, and monitoring of key activities
- Manages communications within and outside the unit related to areas of responsibility
- May serve as Manager of a large Executive Office
- Performs related duties as assigned.

Reporting to the President's Office Chief of Staff, the Executive Administrative Associate/Special Projects Manager will oversee initiatives and projects within the President's Office. This proactive individual will excel in project management, providing exceptional organizational and administrative support. Core responsibilities include:
Project Management
- Develop and implement project plans, ensuring timelines, milestones, and resource allocation are adhered to.
- Collaborate with stakeholders to achieve project objectives efficiently.
- Prepare regular progress reports and presentations for the President and other stakeholders.
- Serve as a trusted advisor to the Chief of Staff and the President on sensitive matters and strategic initiatives.
Administrative Support:
- Oversee administrative functions for the President's Office, coordinating meetings and events.
- Handle confidential information with discretion and professionalism.
- Manage communication flow between the office and both internal and external stakeholders.
Team Collaboration:
- Lead cross-departmental projects on behalf of the President's Office.
- Represent the President's Office in campus-wide committees and task forces.
- Collaborate with various sections of the President's Office, including Government Affairs and Fiscal Affairs, to ensure project success.
- Actively participate in team meetings and share best practices to drive organizational success.
MINIMUM QUALIFICATIONS
Bachelor's degree and six years' related experience required.
OTHER QUALIFICATIONS
Preferred Qualifications:
- Advanced degree in a relevant field.
- Experience in project management and administrative support, preferably in an educational or nonprofit setting.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office suite and project management tools.
- Ability to handle confidential information with integrity.
- Flexibility to adapt to changing priorities.
- Strong interpersonal skills.
COMPENSATION
$78,477 - $86,645 Salary commensurate with education and experience.
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
