Position Summary

The Executive Administrative Assistant provides high-level support to the Center Director’s Office, acting as the lead administrative assistant, delegating tasks, and assisting the Human Resources Department with personnel processing, reporting, and fringe benefits administration. Ensures confidentiality of sensitive information.

Responsibilities

  • Follow integrity guidelines; handle student data appropriately.
  • Prepare reports, handle correspondence, organize meetings, and make travel arrangements if needed.
  • Manage contract deliverables, requests, reports, and correspondence; communicate with external organizations.
  • Maintain systems and libraries, prepare newsletters, and distribute meeting minutes.
  • Support other departments and train clerical staff as needed.
  • Assist HR with personnel data, reporting, and benefits.
  • Produce quality work, meet deadlines, and maintain attendance and productivity standards.
  • Plan and prioritize tasks to meet goals.
  • Apply job knowledge proactively; mentor and model standards.
  • Provide supervision and management for students, ensuring respectful and effective behavior management.
  • Communicate clearly and contribute to team efforts.
  • Identify and analyze problems, follow up on solutions, and work collaboratively across departments.
  • Accept supervision and perform additional duties as assigned.

Qualifications & Experience

  • High School diploma or equivalent required; advanced degrees preferred.
  • Minimum of five years of advanced administrative experience required.
  • Proficiency in Microsoft Office Suite required.
