Provides high-level administrative support to assigned Executives, with primary responsibility for calendar management, travel coordination, expense processing, and light office management. Maintains a close, highly responsive working relationship with the executives and their team, anticipating needs and resolving logistical issues before they elevate. Works independently under general supervision, exercises sound judgment within the scope of authority, and consistently safeguards confidential information related to high-level executive plans and decisions affecting Company operations.
Calendar and scheduling management. Own the executive's calendar end to end. Schedule, reschedule, and prioritize meetings across multiple time zones, resolve conflicts proactively, and ensure the executive is prepared with agendas, materials, and context ahead of each meeting.
Travel coordination. Plan and book complex domestic and international travel, including flights, lodging, ground transportation, and itineraries. Anticipate disruptions, manage last-minute changes, and ensure all travel aligns with company policy and the executive's preferences.
Expense and reimbursement management. Prepare, submit, and track expense reports and reimbursements accurately and on time. Reconcile corporate card activity, maintain receipts and documentation, and follow up on outstanding items.
Light office management. Support day-to-day office needs such as ordering supplies, coordinating with facilities and IT, assisting with onsite meeting logistics, greeting visitors, and helping keep shared spaces organized and functional.
Communications and correspondence. Screen calls, emails, and visitors. Draft, edit, and proofread correspondence, reports, and presentations from general instructions. Relay messages and instructions on behalf of the executive and follow up on pending items to ensure nothing falls through the cracks.
Document and information management. Inspect documents, calculations, and materials flowing through the executive office for accuracy and consistency. Establish and maintain organized digital and physical filing systems for quick retrieval.
Policy awareness and judgment. Stay current on Company policies and practices relevant to the executive office and make day-to-day administrative decisions within the limits of approved programs.
Education: High school graduate or equivalent education and/or experience. Some college and/or office administration training is desirable.
Work Experience: Five or more years of diversified administrative experience supporting senior leaders, with demonstrated strength in calendar management, executive travel coordination, and expense processing.
Technical Proficiency: High proficiency across Microsoft Word, Excel, PowerPoint, and Outlook is required. Comfort learning and adopting new tools quickly (e.g., expense, travel, and collaboration platforms) is expected.
