Job summary

HCA Healthcare is seeking an Executive Administrative Assistant for the Clinical Services Group. This office-based role at the CSG Headquarters in Brentwood, TN, supports the Executive Team with advanced administrative duties, travel coordination, calendar management, and report preparation.

Applicants should have at least five years of administrative experience, healthcare exposure preferred, and strong skills in Outlook, Concur, SharePoint/Teams, PowerPoint, and Excel.

Responsibilities

  • Perform complex administrative duties including composing correspondence and coordinating resources across corporate functions.
  • Coordinate travel and process travel expenses via Concur; prepare reimbursement reports.
  • Schedule meetings, manage calendars, answer phones, file documents and handle confidential information.
  • Prepare reports and presentation materials; maintain division files and communications lists.
  • Attend meetings and support the Executive Team with administrative tasks.

This role is office based at CSG Headquarters in Brentwood, TN.


Key Responsibilities include:


  • Performs complex administrative duties including composing correspondence and coordinating resources across corporate functions.

  • Coordinates necessary travel arrangements and processes travel expense reports via Concur and prepares reimbursement reports as requested

  • Handles various administrative details with initiative and good judgment.

  • Provides general administrative support including typing, answering multiple phone lines, indexing and filing documents, making copies, handling travel arrangements, and scheduling meetings.

  • Schedules meetings (internal/external to the organization) conference calls, teleconferences and web seminars as requested.

  • Maintains Outlook calendars and email as assigned.

  • Prepares reports for company activities as required.

  • Performs a wide variety of duties such as, composing correspondence, preparation of forms, charts, schedules, and presentation materials as needed.

  • Establishes and maintains confidential and operational files for the Executive Team and maintains confidential and operational files as requested.

  • Maintains a master list of current personnel supporting division operations as assigned by division executives.

  • Communicates changes to corporate personnel responsible for managing these lists.

  • Coordinates and schedules activities for outside Board affiliations.

  • Maintains the Division policy & procedure manuals.

  • Answers phones and screens phone calls, assists and directs callers and takes messages. Answers inquiries and/or referring callers/visitors to appropriate person/department.

  • Maintains schedule of use of conference rooms.

  • Sorts and distributes mail and other deliveries. Prepares packages for overnight delivery.

  • Ensures adequacy of office supplies and equipment.

  • Assists other staff as requested.

  • Attends meetings as assigned and participates in educational activities and programs.

  • Maintains strictest confidentiality.

  • Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement”.


EDUCATION & EXPERIENCE:


  • A minimum of five years of administrative experience is required, including at least two years in a healthcare organization (appropriate education may be substituted for experience).

  • High proficiency in workflow and productivity tools, such as:

  • Outlook (required)

  • Concur (highly preferred)

  • SharePoint and Teams

  • Adobe PDF form editing

  • PowerPoint formatting

  • Excel for trackers, lists, and dashboards

  • Ability to quickly learn internal systems (e.g., IT, HRIS, service portals).
