Job summary

Johnson & Johnson Innovative Medicine is recruiting for an Executive Administrative Assistant to support the Vice President of Immunology, Psoriatic Portfolio. This hybrid onsite role is located in Horsham, PA.

The position requires a minimum of 6 years of administrative experience, strong Microsoft 365 skills, and a proven track record in supporting senior leaders. You will manage complex calendars, coordinate travel, and lead key cross-functional initiatives to enable executive focus.

Qualifications

  • Minimum high school diploma; associate degree preferred.
  • At least 6 years of administrative or similar experience.
  • Significant experience supporting Vice Presidents or executive leadership.
  • Proven calendar management and prioritization in a fast-paced environment.
  • Strong proficiency with Microsoft 365 apps (Outlook, Teams, PowerPoint, Word, Excel).

Responsibilities

  • Manage a highly complex executive calendar balancing priorities and events.
  • Anticipate scheduling conflicts and operational needs, providing proactive solutions.
  • Serve as liaison between VP, senior leaders, and stakeholders.
  • Demonstrate judgment with changing priorities and urgent requests.
  • Coordinate leadership meetings, off-sites, and business reviews.
  • Build collaborative relationships to ensure seamless execution of priorities.
  • Handle confidential information with discretion and integrity.
  • Coordinate domestic and international travel and expenses.
  • Support special projects and process improvements for executive effectiveness.
  • Act as strategic partner to maximize executive productivity and focus.

Key Responsibilities
  • Manage a highly complex and dynamic executive calendar, balancing competing priorities, strategic business needs, and shifting organizational demands.
  • Proactively anticipate scheduling conflicts, business needs, and operational challenges, implementing solutions before issues arise.
  • Serve as a primary liaison between the Vice President, senior leaders, business partners, and key stakeholders across the organization.
  • Demonstrate agility and sound judgment when responding to changing priorities, urgent requests, and last-minute business demands.
  • Coordinate leadership meetings, off-sites, business reviews, and other high-profile events.
  • Build and maintain strong collaborative relationships with cross-functional teams, business partners, and administrative professionals to ensure seamless execution of business priorities.
  • Handle highly sensitive and confidential information with the utmost discretion, professionalism, and integrity.
  • Coordinate domestic and international travel arrangements, meeting logistics, and expense reporting.
  • Support special projects, process improvements, and initiatives that enhance executive and organizational effectiveness.
  • Act as a trusted advisor and strategic partner by understanding business priorities and helping maximize executive productivity and focus.
Qualifications / Requirements
  • A minimum of a high school diploma is required. An associate’s degree is preferred.
  • A minimum of 6 years of administrative or similar experience is required.
  • Significant experience supporting Vice Presidents, senior executives, or executive leadership teams.
  • Proven expertise managing complex calendars and multiple competing priorities in a fast-paced environment.
  • Strong ability to anticipate needs, think proactively, and execute independently with minimal direction.
  • Exceptional organizational, prioritization, and time management skills.
  • Demonstrated flexibility, adaptability, and responsiveness in handling changing business needs.
  • Excellent interpersonal, communication, and relationship-building skills with the ability to interact confidently with senior leaders and stakeholders.
  • Proven ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
  • Strong problem-solving skills and a solution-oriented mindset.
  • Advanced proficiency with Microsoft 365 applications, including Outlook, Teams, PowerPoint, Word, and Excel.
  • Demonstrates Johnson & Johnson’s Leadership Imperatives and Credo to all stakeholders internally and externally.
