Job summary

Responsibilities

  • Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail, with timely responses.
  • Perform general administrative duties such as filing, photocopying, and data entry.
  • Prepare and process expense reports, invoices, and other financial documents.
  • Maintain and organize office supplies and equipment, ensuring a well-functioning work environment.
  • Schedule and coordinate meetings, conferences, and events, including logistics, agendas, and minutes.
  • Ensure meeting rooms are set up and equipped with necessary materials and technology.
  • Act as a point of contact between executives and internal/external stakeholders, maintaining professional communication.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Assist with special projects and initiatives as assigned by executives, providing research, analysis, and administrative support.
  • Track project timelines and deliverables, ensuring deadlines are met.
  • Identify opportunities for improving administrative processes and implement best practices to enhance efficiency.
  • Stay current with industry trends and technologies to support continuous improvement.

Position Overview

The Executive Assistant II, Administrative Support provides high-level administrative support to senior executives, ensuring the efficient operation of their office. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks. The Executive Assistant II must be highly organized, proactive, and capable of handling sensitive information with discretion.

What you'll do:
  • Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.

What you'll bring to Zelis:
  • High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration or a related field preferred. Or equivalent experience.

  • Minimum of 2-3 + years of experience in an executive assistant or administrative support role.

  • Experience supporting senior executives in a fast-paced environment.

  • Excellent organizational and time management skills.

  • Strong verbal and written communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

  • Ability to multitask and prioritize tasks effectively.

  • Strong attention to detail and accuracy.

This role is located in our Boston office and has a hybrid schedule of 2-3 in office days per week and as needed.

Location and Workplace Flexibility

Zelis is headquartered in the U.S., with multiple locations across the country and in Hyderabad, India. Check out our locations to learn more about our offices. All employee work locations are based on the needs of the position and are determined by the Leadership team. In-office work and activities vary based on work and team objectives in accordance with Company policies.

While location expectations vary by role, candidates within approximately 50 miles of a U.S. office are generally preferred to support collaboration when needed. Our hybrid approach is flexible, and in-office presence is guided by team and business needs rather than a fixed weekly schedule.

Base Salary Range

$71,000.00 - $90,250.00

At Zelis we are committed to providing fair and equitable compensation packages. The base salary range allows us to make an offer that considers multiple individualized factors, including experience, education, qualifications, as well as job-related and industry-related knowledge and skills, etc. Base pay is just one part of our Total Rewards package, which may also include discretionary bonus plans, commissions, or other incentives depending on the role.
