Job summary

Responsibilities

  • Identify, pitch to and acquire new clients for smaller rentals and events who want Snug Harbor spaces for short-term rentals.
  • Work with Senior Manager of Events to scout grounds for potential renters.
  • Coordinate with Arts & Events leadership to cultivate world-class and community-driven cultural experiences.
  • Handle billing for smaller rentals with the Finance Department and client communications.
  • Manage short-term recurring rentals in Snug Harbor dance studios and subsidized rehearsal spaces.

EVENTS PROGRAMMING COORDINATOR

Snug Harbor is an expansive culture park on Staten Island where arts, nature, education, and history converge to offer dynamic programming, events, and festivals to our diverse community. Located less than 1.5 miles from the Staten Island Ferry and easily accessible by public transportation, Snug Harbor welcomes nearly 500,000 visitors each year. Visitors can explore multiple museums, performances, festivals, a farm, and 83 acres of gardens, parkland, woodland, and wetlands.

Founded in 1976 as a nonprofit organization, Snug Harbor is one of the largest adaptive reuse projects in America, transforming a 19th-century charitable rest home for sailors into a vibrant hub of contemporary culture and community connection. Today, Snug Harbor’s mission is dedicated to creating a vibrant culture park in Staten Island offering arts, nature, history, education and events for all.

THE POSITION

Snug Harbor Cultural Center & Botanical Garden seeks a detail-oriented and collaborative Events Programming Coordinator to work in the Arts & Events Department, to support Snug Harbor's year-round calendar of activities, serving as the primary administrator and point of contact for all of Snug Harbor's smaller rentals and events, providing a positive experience for renters from inquiry through event completion. This role plays a critical part in managing business contracting and invoicing for performances, exhibitions, rehearsals, vendor markets, smaller events, and classes, serving as a key liaison between Snug Harbor stakeholders and the organization.

The Event Programming Coordinator reports to the Senior Manager, Events and Business Services, as part of the Arts & Events Department.

RESPONSIBILITIES
Business Contracting & Invoicing
  • Manage contracting and invoicing for short-term bookings, including performances, exhibitions, classes, vendor markets, smaller events, and rental studios.
  • Identify, pitch to and acquire new clients for smaller rentals and events who are interested in using Snug Harbor’s unique indoor and outdoor spaces for short-term rentals such as recitals, rehearsals, private events, corporate meetings, retreat and smaller performances.
  • Work with the Senior Manager of Events, conduct regular scouts of the grounds for potential renters.
  • Embody a mission-driven approach to site activation opportunities. Work closely with Arts & Events team leadership to cultivate/produce/attract both world-class and community-driven cultural experiences to the campus
  • Coordinate with the Senior Manager of Events, the Snug Harbor Business Department, and the Finance Department to handle all billing for smaller rentals, including contracts, payments and client communications.
  • Manage short‑term recurring rentals in Snug Harbor dance studios, including management of Subsidized rehearsal spaces.
  • Assist the Senior Manager, Events & Business Services with filing and recordkeeping.
Event Management & Onsite Leadership
  • Serve as lead Event Manager for selected smaller events, including identifying staffing needs, overseeing setup, execution, and breakdown.
  • Oversee the staffing of smaller events with Event Services Associates. Direct onsite staff and freelance support to ensure high-quality guest and artist experiences.
  • Negotiate, prepare and execute license agreements and contracts for assigned business relationships and manages the business retention of existing short‑term rental clients utilizing the grounds (eg. recitals, graduations, festivals, classes, rehearsals, etc.).
  • Troubleshoot issues in real time and communicate effectively with internal teams and external partners.
  • Maintain superior relationships with assigned business, event clients, and vendors including responding to email inquiries, answering sales calls, conducting tours, etc.
  • Support with larger events as needed.
  • Ensure coverage for all smaller events aligns with event calendars and operational priorities.
Internal Coordination & Communications
  • Assist with management of Arts & Events tasks required to support the Arts & Events team.
  • Facilitate communication between departments to ensure alignment on event logistics, marketing, and production needs.
  • Support cross-functional planning meetings and documentation.
QUALIFICATIONS
  • Minimum 1-3 years of experience in event management, business operations, or arts administration.
  • Strong organizational and communication skills.
  • Highly organized, customer-focused, detail-oriented, and passionate about creating meaningful experiences that connect people to arts.
  • Ability to lead teams and manage multiple priorities in a fast‑paced environment.
  • Availability to work evenings and weekends as needed.
  • Familiarity with Snug Harbor’s mission and Staten Island’s cultural landscape is a plus.
Preferred Qualifications:
  • Experience with contract management and invoicing systems.
  • Experience supervising event staff or volunteers.
  • Knowledge of CRM or booking software, preferably OfficeRND and PatronManager.
  • Working knowledge of Microsoft 365 and Sharepoint.
  • Background in arts, non‑profit organizations or cultural programming.
  • Bilingual or multilingual abilities a plus
SALARY AND BENEFITS

This is afull-timeposition.Hourlywage iscommensuratewith experience, ranging from $22.50 to $24.50 per hour.Snug Harbor offers a generous vacation/holiday schedule and participation in the Cultural Institutions Retirement System pension plan.

This position is scheduled forworkingapproximately 35 hours per week, with weekend and evening work regularlyrequired.
