Job Description
About the Role

Behind every successful event is thoughtful planning, careful coordination, and attention to detail. Truckee Meadows Community College is seeking an Events Manager who brings all three, along with fresh ideas and a genuine enthusiasm for creating experiences that bring our campus community together. This position is in the Office of the President and reports to the Director of Executive Operations.

The Events Manager is directly responsible for the College's major institutional events, including Convocation, employee recognition programs, the Holiday Celebration, and executive-level functions. The position is also a key member of the Commencement planning team.

For events hosted by academic divisions, departments, student organizations, and other units, the Events Manager serves as a project management partner. The sponsoring area retains ownership of the event and its program, while the Events Manager helps develop the plan, identify key needs, and coordinate College resources to support successful execution.

The College is seeking a candidate who will build on existing events and processes while bringing new ideas and best practices to the role.

Essential Duties and Responsibilities

  • Manage major College events from concept through post-event evaluation, including timelines, budgets, run-of-show documents, floor plans, staffing, and contingency plans.
  • Oversee on-site operations on event day, resolve issues as they arise, and elevate to College leadership when needed.
  • Coordinate protocol and guest experience for events involving Regents, elected officials, donors, and other distinguished guests.
  • Represent the President's Office on the Commencement planning team and manage assigned areas.
Campus Event Support
  • Consult with campus units to define event goals, timelines, roles, and resource needs.
  • Coordinate with Facilities, IT/AV, Marketing and Communications, Public Safety, Purchasing, Finance, catering, and parking.
Standards and Continuous Improvement

  • Maintain event records to support continuity from year to year.
  • Recommend and implement event-management tools and processes.
  • Conduct post-event evaluations and apply feedback to future planning.
Budget, Vendor, and Risk Management
  • Develop and manage event budgets, and track and reconcile expenses.
  • Source and manage vendors, and coordinate contracts and purchasing in accordance with College and NSHE policy.
  • Maintain an inventory of event equipment and supplies.
  • Ensure events are accessible and include appropriate safety and emergency plans.
  • Manage volunteer schedules and direct volunteers during events.
Knowledge, Skills, and Abilities
  • Strong knowledge of event planning, production, AV, logistics, and budgeting.
  • Ability to manage multiple complex projects independently with limited direction.
  • Strong attention to detail combined with an understanding of each event's broader purpose.
  • Excellent written, verbal, and interpersonal communication skills, with discretion when working with senior leadership.
  • Sound judgment and composure under pressure.
  • Creativity and a commitment to continuous improvement.
Minimum Qualifications
  • Bachelor's degree in event management, hospitality, business, communications, marketing, or a related field, or an equivalent combination of education and experience.
  • Two (2) years of professional experience planning and executing events, conferences, or similarly complex projects, including vendor, budget, and timeline management.

  • Five or more years of progressively responsible experience in event, conference, or hospitality management, preferably in higher education, government, or nonprofit settings.
  • Experience leading large-scale or high-profile events, including those involving executives or elected officials.
